The Elementary Part-time Secretary provides comprehensive clerical, data management, and customer service support to ensure the efficient operation of the school office. This role supports attendance tracking, residency compliance, registration, data reporting, and daily administrative functions while maintaining a professional and welcoming environment for students, staff, and families.Essential Duties and Responsibilities:
Manage student attendance processes, including the collection, review, and follow-up of attendance data to ensure accuracy and compliance. Monitor and verify student residency status in accordance with district policies and enrollment regulations. Manages student registration including the collection, review, and follow-up. Collect, analyze, and interpret data for the preparation of reports in alignment with Department of Education (DOE) and district requirements. Provide administrative support to the Administrative Assistant and other staff as needed. Maintain accurate and organized paper and electronic filing systems. Develop and manage databases to ensure the integrity and accessibility of current records. Utilize appropriate technology and communication tools to correspond effectively with faculty, staff, parents, and community members. Provide front office support, including answering telephone calls, taking and relaying messages, and maintaining up-to-date contact information. Serve as the first point of contact by greeting students, parents, and visitors, ensuring a professional and welcoming environment. Support general office and school operations as directed by the supervisor or director. Perform additional duties as assigned to support the overall mission and function of the school or department.Required Qualifications:
Associates Degree or certificate program with 3 or more years' experience highly desired; years of relevant full time and part time experience may be considered in lieu of degree requirements, preferably in an educational setting. Strong interpersonal skills with the ability to work collaboratively with diverse populations; ability to work independently and within a team environment. Proficiency in office software, including word processing, spreadsheets, and database systems; ability to learn new systems. Strong organizational skills with attention to detail and accuracy. Ability to manage multiple tasks and meet deadlines in a fast-paced environment. Effective written and verbal communication skills. Ability to maintain confidentiality and handle sensitive information with discretion. Must be able to assist in the protection of students and school property, assist the principal in fire and other emergency drills as required by law and School Committee policyPreferred Skills and Qualifications:
Experience with student information systems (e.g., PowerSchool or similar platforms). Familiarity with attendance tracking and student residency verification processes. Bilingual or multilingual communication skills is a plus.Salary and Benefits:
This is a part-time, 17.5 hour per week position, Monday through Friday. This position is not eligible for benefits. The hourly rate ranges from $19.78 to $27.70, commensurate with experience and qualifications. Employees in this role are compensated for hours worked in accordance with district policies and applicable regulations.Position Type:
