Job Description

Civil Engineering Project Coordinator About the Firm American Services of Miami is a full-service civil engineering, land surveying, and site planning firm with over 30 years of history in South Florida. We handle the entire development lifecycle in-house, from boundary surveys through final plat, for residential, commercial, and industrial developers across Miami-Dade, Broward, and Palm Beach counties. Our clients include some of the most active developers in the region. About the Role This is a full-time, on-site office position. You will keep our civil engineering and surveying projects moving through permitting. You'll track agency reviews, route comments to the right engineer, and make sure every submittal goes out complete and on time. You'll work directly with our engineers, designers, surveyors, and field crews on land development projects across South Florida. A missed comment or an incomplete package can add weeks to a permit or plat, so this role depends on detail, accountability, and follow-through. We're looking for someone organized and persistent who keeps every project moving without delays and is comfortable picking up the phone to get answers from an agency. This is a core role with a growing pipeline of work and a clear path to grow with the firm. What You'll Do Track agency reviews and comments Monitor submittals and review comments from Miami-Dade WASD, DERM, Public Works, fire departments, and municipalities across Miami-Dade, Broward, and Palm Beach counties. Check agency portals and email every day, and log each new comment, status change, or hold. Assign each comment to the right engineer or designer with a clear deadline, and make sure responses go back on time. Follow up with reviewers, utilities such as FPL, and other third parties until each item is resolved. Prepare and submit packages Assemble and submit permit, tentative plat (T-plat), final plat, paving and drainage, and water and sewer packages, checking each against the agency's requirements before it goes out. Gather the required plans, reports, applications, owner documents, and fees from the team and clients. Draft comment response letters and cover documentation from our templates, and review them for accuracy before sending. Schedule agency appointments and coordinate resubmittals, as-builts, and certification requests. Coordinate the team and clients Keep project status, next steps, and deadlines current in our project management tools so everyone sees where each job stands. Update clients on project status and schedule, and relay their requests back to the team. Coordinate with the surveying team and field crews on data and site needs that affect permit timelines. Join our weekly pipeline meeting and report on open items, blockers, and upcoming deadlines. Flag completed milestones for invoicing and confirm payment status with our finance team. Help improve our templates, checklists, and procedures. What We're Looking For (Required) 1+ years of experience in permitting, plan review, land development, civil engineering, surveying, construction, or architecture, or a relevant degree plus strong organizational skills.
Strong organization:
you can track many projects and deadlines at once without dropping details. Clear writing for response letters and client updates, and confident communication by phone and email with agency staff, clients, and engineers. Ability to read basic plans and understand how a permit moves from submittal to approval, or learn it quickly. Comfort with spreadsheets, email, and project management software. Valid driver's license and reliable transportation for occasional agency and site visits. Strongly Preferred Hands-on experience with Miami-Dade permitting and review processes, including WASD, DERM, and Public Works. Experience with plats, T-plats, final plats, or subdivision approvals. Experience submitting through agency portals and managing review comments to closure. Also Valuable Familiarity with Civil 3D or AutoCAD, or EIT certification. Bilingual English/Spanish. Many of our clients, agencies, and project partners operate in both languages. What We Provide Competitive hourly pay based on experience, with overtime available. Health insurance contribution and 401(k) retirement plan with employer match, available for eligible employees. Paid time off and paid holidays. Training in our systems, agency processes, and templates. A small team where your work is visible and valued. A path to grow toward senior coordination, project management, or engineering licensure.
