$ 22.37JOB SUMMARY :
The Clerical III position is a full-time position that is scheduled for 40 hours a week. This position provides secretarial and office support to the Engineering Department and is backup to the Building Division. This position will perform a wide variety of duties with minimal supervision and must possess ability to prioritize work with an emphasis on multitasking. This position plays a key role in ensuring the smooth operation of departmental functions by managing communications, maintaining records, coordinating meetings, and assisting with project documentation. This role requires a detail-oriented individual with strong organizational and communication skills who can work independently and collaboratively in a fast-paced municipal environment.ESSENTIAL JOB FUNCTIONS
The following list of essential job functions is not exclusive or all-inclusive. Other duties may be required and assigned.- Serve as the primary point of contact for internal and external communications within the Engineering Department
- Review engineering permit applications in the software system and move permits through the designated workflow for approval (plan review, fees, issuance, inspections.)
- Assist with processing permit applications for the Building Division.
- Assist with processing Contractor Registrations.
- Prepare and track purchase orders, reconcile invoices and assist in determining annual departmental budgets.
- Assist in preparing documents for Board of Zoning Appeals and Planning Commission meetings
- Prepare timely and accurate records and minutes of Board of Zoning Appeals and Planning Commission meetings
- Answer phones and provide general back up support for Engineering Department/Building Division and Service
- Respond to all public records requests for the Engineering Department
- Assist with the preparation of contract and bid packets
- Greet customers and answers questions
- General administrative duties
- Additional duties as required by supervisor or department head
- Coordinate with other city departments, contractors, and consultants as needed.
- Maintain confidentiality and professionalism in handling sensitive information.
KNOWLEDGE, SKILLS, AND ABILITIES
- Proficiency in Microsoft Office (word, excel, power point)
- Ability to multi-task, prioritize work, manage time effectively with strong attention to detail.
- Excellent clerical, computer, typing and customer service skills
- Must possess a disposition suitable to dealing with people involved in stressful situations, exercise sound judgment in evaluating situations and in making decisions and have good organizational skills.
- Ability to prioritize tasks and manage time effectively.
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Familiarity with engineering terminology and municipal operations is a plus.
- Ability to interpret and apply city policies and procedures.
QUALIFICATION, TRAINING, AND EXPERIENCE
- Clerical experience, including familiarity with various computer applications and programs such as Microsoft Office
- Minimum of 2 years of administrative experience, preferably in a government or engineering and /or building related setting.
- Experience with budgeting, procurement, and records management preferred.
