This role is ideal for someone who understands restoration work and can help coordinate communication between customers, field crews, admin, billing, vendors, and ownership. The right candidate will be able to track job progress, follow up on paperwork and payments, identify stalled jobs, and help make sure each project moves through the proper process. Experience in water mitigation, mold remediation, demolition, containment, drying equipment, cleaning, job documentation, and customer communication is strongly preferred. AMRT certification or other IICRC certifications are a major plus. Responsibilities Track active Restoration 1 jobs daily and understand the current status of each project. Coordinate communication between field crews, customers, admin, billing, vendors, subcontractors, and ownership. Help ensure work authorizations, contracts, and required job paperwork are completed before work begins. Follow up with customers regarding scheduling, access, paperwork, payment links, deposits, deductibles, progress payments, and final payments. Work with admin and billing staff to help keep invoices, QuickBooks payment links, customer payments, vendor bills, and job expenses organized. Track labor hours by job and help confirm employee time is being assigned correctly. Track crew assignments, equipment status, jobsite progress, and completion items. Help ensure job photos, notes, moisture readings, equipment logs, containment photos, demo photos, cleaning photos, and completion photos are collected and organized properly. Identify jobs that are stalled or delayed and clearly communicate what is needed to move them forward. Communicate with technicians and project leads to confirm what was completed each day and what is needed next. Assist with Contractor Connection and other program work by helping keep files, communication, job status, documentation, billing support, and follow-up organized. Help prepare daily job status updates for ownership, including active jobs, scheduled work, stalled jobs, jobs ready to bill, payments needed, and items requiring a decision. Help keep the company email flow organized by responding to routine job-related communication and escalating items that need approval. Support vendor and subcontractor communication as needed. Follow company processes and help keep projects moving cleanly through completion and closeout. Skills Experience or working knowledge in restoration, water mitigation, mold remediation, demolition, cleaning, containment, drying equipment, or related construction/service work. AMRT certification preferred. IICRC certifications or restoration industry experience strongly preferred. Strong organizational skills with the ability to track multiple active jobs at once. Ability to understand job status, field progress, and what needs to happen next. Comfortable communicating with customers, field crews, admin staff, billing, vendors, subcontractors, and ownership. Strong follow-up skills with paperwork, payments, scheduling, job updates, documentation, and closeout items. Attention to detail with job photos, notes, labor hours, equipment logs, customer communication, and billing support. Ability to identify delays and clearly communicate what is holding a job up. Comfortable using email, phone, text, QuickBooks payment links, job management software, spreadsheets, and daily reporting tools. Experience with Xactimate, Contractor Connection, Dash, PSA, Encircle, Matterport, CompanyCam, or similar restoration software is a plus. Strong time management, communication, and follow-through. Ideal Candidate The ideal candidate is organized, reliable, coachable, and comfortable working between the office and field. This person understands restoration work well enough to know when a job is missing paperwork, waiting on payment, lacking documentation, delayed, ready to bill, or ready to close out. This position is a strong fit for someone who wants to grow inside a restoration company, help projects run smoothly, support both the office and field teams, and play a key role in keeping jobs moving efficiently from start to finish.
