Our mission is to keep the lights on when our community needs it most. Position Overview This is a role for a sharp, analytical problem-solver who wants ownership over how a service department runs. You'll sit at the center of our service operation: turning raw field data into precise, professional quotes, keeping our systems and records accurate and current, identifying patterns across our fleet to prevent failures before they happen, and helping us win and manage larger, more complex projects. We're looking for someone with strong technical reasoning and a head for detail — the kind of person who sees a messy process and wants to systematize it, or a recurring failure and wants to understand why. Whether you're early in your career and eager to build something, or experienced and looking for a role where your judgment is valued, what matters is that you think clearly, work accurately, and take pride in getting the details right. Key Responsibilities Translate technician field reports into professional repair quotes and service proposals for customer approval. (1-5 per day) Prepare, support, and manage larger-scale projects and competitive RFQs, up to $500,000 in scope — including scoping, pricing, technical documentation, and coordination through completion. Analyze service history and field data to identify common failure modes across generator fleets, and develop preventive strategies to improve reliability. Keep service management systems, records, and job data accurate, organized, and up to date. Work with vendors and suppliers to source parts efficiently and drive better pricing through negotiation and sourcing initiatives. Process and submit manufacturer warranty claims accurately and monitor them through to reimbursement. Act as the primary point of contact for inbound service inquiries, providing clear status updates on quotes and repairs. Coordinate directly with field technicians to clarify work performed and identify additional parts or labor required. Monitor the status of all open quotes, projects, and pending parts orders to prevent delays in the service cycle. Support the service manager with administrative and operational tasks to improve department efficiency.
Qualifications Technical Aptitude:
Strong understanding of mechanical or electrical systems, with the ability to accurately interpret technician notes and identify necessary parts. An engineering, technical, or trades background is a plus.
Analytical Skills:
Comfort working with data, pricing, and documentation; able to spot patterns across jobs, reason through complex projects, and catch errors before they reach a customer.
Communication Skills:
Professional verbal and written communication for direct interaction with customers, technicians, vendors, and manufacturers.
Organizational Skills:
Exceptional attention to detail with the ability to manage multiple quotes, projects, parts orders, and warranty claims simultaneously.
Computer Proficiency:
Strong computer skills and the ability to quickly learn service management software and manufacturer parts databases.
Task Prioritization:
Ability to work in a fast-paced environment and prioritize high-priority requests and deadlines effectively. Industry Experience (Preferred): Prior experience in a service writer, service advisor, estimator, project coordinator, or dispatcher role, ideally within power generation, HVAC, or a related mechanical industry.
Pay:
$32.00 - $40.00 per hour
