Our mission focuses on nurturing independence, achieving long-term success, and creating a multigenerational impact. As part of our mission, we maintain a debt-free, 156-acre master-planned community, operate a social enterprise, and engage in essential community outreach. LYR seeks to fill the position of a highly motivated Executive Administrator to support the President and CEO as soon as possible. The Executive Administrator provides executive support in a one-on-one working relationship, ensuring high-level entrepreneurial operations within the C-level executive office. This role demands strong written and verbal communication, organizational skills, and the ability to manage multiple priorities effectively. The Executive Administrator will have the ability to work independently on projects from conception to completion and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with professional discretion. Position Overview The Executive Administrator will report directly to the President and CEO, serving as the primary point of contact between the executive office and staff, stakeholders, and external partners. This individual will manage executive-level activities, oversee the President and CEO's schedule/calendar, serve as a key representative when required, and oversee special projects. The Executive Administrator must be detail-focused and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven, and community-oriented. Key Responsibilities Executive Support & Office Management Complete a wide variety of administrative tasks for the President and CEO, including managing an extremely active schedule, including calendar appointments, meetings, and travel logistics. Plan, coordinate, and ensure the President and CEO's schedule is followed and respected. Coordinate meetings, including preparing agendas, taking minutes, and following up on action items through completion. Prepare and organize materials for meetings, presentations, and events. Accompany the President and CEO to strategic meetings, conferences, and events, offering real-time logistical support and ensuring seamless coordination. Oversee office operations, ensuring a well-organized and functional environment. Provide executive-level support to the President and CEO, handling correspondence and screening inquiries. Act as a "barometer," having a sense of the issues taking place in the environment and keeping the President and CEO updated. Provide "gatekeeper" and "gateway" roles, creating win-win situations for direct access to the President and CEO's time and office. Prioritize conflicting needs; handle matters expeditiously and proactively and follow through on projects to successful completion, often with deadline pressures. Communication & Relationship Management Serve as a liaison between the President and CEO and board members, donors, staff, and external stakeholders. Manage donor relations and written correspondence, including letters, e-mails, and acknowledgments. Draft and edit correspondence from the President and CEO to stakeholders. Ensure clear, professional, and timely communication on behalf of the Office of the President. Represent the President and CEO in meetings and at events as needed. Event Planning & Coordination Plan and coordinate executive events and meetings, ensuring all logistics are in place. Manage vendors and contractors related to executive office events and operations. Collaborate with staff to align event logistics with the organization's Christ-centered mission and goals. Budgeting & Administrative Oversight Assist in preparing budgets for the Office of the President and monitor expenditures to ensure compliance. Coordinate office purchasing and vendor contracts in alignment with budgetary guidelines. Qualifications Experience with Blackbaud Raiser's Edge NXT software. Bachelor's degree in Business Administration, Communications, or related field (Master's preferred). Entrepreneurial mindset, able to identify opportunities and solve problems with initiative and creativity. Deep sense of ownership and personal investment in advancing the mission of Liberty Youth Ranch. Strong track record of success in supporting senior leadership in fast-paced, high-impact environments, with 5 to 10 years of experience in executive administration, nonprofit management, or C-level Executive support roles. Proficiency in technology, including Microsoft Office (Word, Excel, PowerPoint, Outlook), Adobe Acrobat, social media web platforms, artificial intelligence, and cloud-based collaboration platforms. Excellent organizational, interpersonal, and communication skills. Ability to handle confidential information with discretion and professionalism. Faith-based nonprofit experience is highly desirable. Strong multitasking skills with the ability to manage competing priorities and meet deadlines. Availability to occasionally work evenings or weekends for special events or meetings.
