Job Description
Description We are looking for an organized and experienced Executive Assistant to support senior leadership in California. This Long-term Contract position is ideal for someone who thrives in a fast-moving environment, anticipates needs, and keeps priorities on track with discretion. The role will play a central part in maintaining executive schedules, coordinating key interactions, and ensuring day-to-day administrative operations run smoothly.
Responsibilities:
- Manage complex executive schedules by organizing appointments, resolving conflicts, and ensuring leaders are prepared for daily commitments.
- Arrange meetings from start to finish, including securing logistics, preparing supporting materials, and following up on next steps.
- Coordinate business travel plans, including itineraries, bookings, and schedule alignment for executive trips.
- Develop and format clear documents such as presentations, reports, briefing materials, and meeting agendas.
- Monitor deadlines, outstanding tasks, and shifting priorities to help executives stay focused on critical objectives.
- Handle sensitive business information with sound judgment and a high level of confidentiality.
- Process expense documentation, support invoice-related administrative tasks, and assist with general office coordination.
- Act as a point of contact for internal teams and external partners, helping communication move efficiently across stakeholders.
- Contribute to special assignments and provide additional administrative support based on business needs. Requirements
- At least 3 years of experience supporting executives or senior leaders in an administrative capacity.
- Demonstrated success managing high-volume calendars and coordinating schedules with accuracy.
- Strong working knowledge of Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
- Clear and effective written and verbal communication skills.
- Excellent organizational abilities with close attention to detail and follow-through.
- Proven ability to safeguard confidential information and exercise discretion in sensitive situations.
- Capacity to manage multiple responsibilities effectively in a deadline-driven environment.
