  • Full-time Job Overview We are seeking a highly organized, proactive, and energetic Executive Assistant to support our CEO in a dynamic and fast-paced environment.
This vital role involves managing complex calendars, coordinating projects, handling correspondence, and providing comprehensive administrative support to ensure the CEO's day-to-day operations run smoothly. The ideal candidate will be a detail-oriented professional with exceptional communication skills, a knack for multitasking, and a passion for facilitating executive success. This paid position offers an exciting opportunity to be at the heart of our organization's leadership team. Responsibilities Manage and maintain the CEO's calendar, scheduling meetings, appointments, and travel arrangements with precision using tools like Microsoft Outlook Calendar and Google Workspace. Serve as the first point of contact for phone calls and emails, demonstrating excellent phone etiquette and customer service skills while prioritizing urgent matters. Coordinate and support special projects, including event planning, meeting preparations, and logistical arrangements to ensure seamless execution. Handle office management duties such as filing, data entry, document proofreading, transcription, and maintaining organized records using Microsoft Office and other office software. Assist with bookkeeping tasks utilizing QuickBooks or similar accounting software to support financial record-keeping and expense tracking. Provide personal assistant support as needed, including managing personal appointments or errands for the CEO. Oversee front desk responsibilities when required, ensuring a professional and welcoming environment for visitors. Requirements Proven experience in executive administrative support or as a personal assistant with strong organizational skills. Demonstrated proficiency in office management tasks such as filing, data entry, clerical work, and customer service. Excellent computer literacy with expertise in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs), and familiarity with multi-line phone systems. Strong typing skills along with transcription and proofreading abilities to produce accurate documents efficiently. Experience with calendar management tools like Microsoft Outlook Calendar and Google Calendar is essential. Knowledge of bookkeeping software such as QuickBooks plus basic accounting principles is preferred. Exceptional communication skills with professional phone etiquette and the ability to handle sensitive information discreetly. Ability to coordinate multiple projects simultaneously while maintaining attention to detail in a fast-paced environment.
