  • Full-time, Contract Highly organized and compassionate Executive Secretary/Administrative Assistant with experience supporting senior leadership and managing daily office operations in a professional and sensitive environment.
Skilled in scheduling, client communication, record management, data entry, and coordinating services with discretion and empathy. Strong ability to mulitask, maintain confidentiality, and provide exceptional administrative support to funeral directors, staff, and grieving families. Proficient in office software, telephone systems, and maintaining accurate documentation in fast-paced settings. The Executive Secretary/Administrative Assistant provides high-level administrative and clerical support to funeral directors and management staff while ensuring smooth day-to-day operations of the funeral home. This role requires professionalism, compassion, confidentiality, and excellent organizational and communication skills when interacting with families, vendors, clergy, cemeteries, and community members.
Key Responsibilities:
Answer phones, greet families and visitors, and provide professional customer service. Schedule appointments, funeral services, visitations, and meetings. Prepare and process funeral-related documents, permits, death certificates, and correspondence. Maintain confidential records and filing systems Assist funeral directors with administrative tasks and daily operations. Coordinate with cemeteries, churches, florists, crematories, and vendors. Manage calendars, emails, office supplies, and billing documentation. Input and update information in funeral home management software. Prepare obituaries, programs, and service-related materials as needed. Handle sensitive situations with compassion, professionalism, and discretion. Support bookkeeping functions such as invoices, payments, and data entry. Ensure the reception area and office remain organized and welcoming.
Qualifications:
High school diploma or equivalent required; Previous administrative or executive assistant experience preferred Strong communication and interpersonal skills Excellent organizational and multitasking abilities Proficiency in Microsoft Office and office equipment Ability to maintain confidentiality and professionalism Compassionate demeanor and ability to work with grieving families Detail oriented with strong time-management skills
Preferred Skills:
Experience in a funeral home, healthcare, or service-oriented environment Knowledge of funeral documentation and procedures Familiarity with accounting or bookkeeping systems Must be able to work 5 days out of the month answering any phone calls at night
Schedule:
7:30a.m.
  • 8:30a.m. start time ending either at 5p.m. or 6p.m.
  • some days can be longer

$50,000.00
