Job Summary:
The Facilities Manager 1 ensures the efficient operation of PG Group's facilities, maintaining a safe and productive environment for all employees. This role involves managing resources, services, and processes while adhering to industry best practices. The ideal candidate will have strong organizational skills, technical expertise, and a passion for maintaining the highest standards of safety and efficiency within the company's facilities.
Essential Duties and Responsibilities:
Facility Management:
Develop and implement a comprehensive facility management program, including preventative maintenance and life-cycle requirements.

Conduct and document regular facility inspections.

Ensure compliance with health, safety standards, and relevant industry codes.
Space and Equipment Efficiency:
Allocate and manage facility space for maximum operational efficiency.

Coordinate intra-office moves and manage maintenance or repairs of facilities and equipment.

Oversee facility refurbishments and renovations.
Operational Management:
Manage central services, including reception, security, cleaning, catering, waste disposal, and parking.

Implement processes that enhance operational efficiency.

Obtain quotes and negotiate with vendors and suppliers to ensure cost-effectiveness.

Manage contracts, ensuring all service agreements meet the company's needs in terms of quality, schedule, and cost.

Supervise and inspect completed work by contractors and ensure accurate payment and invoicing.

Plan and monitor staffing levels for facility management.

Ensure efficient utilization of facility maintenance personnel, managing staff performance and providing necessary training.

Prepare and track facility budgets, monitor expenses, and generate financial reports.

Develop and implement cost reduction initiatives where applicable.

Oversee environmental health and safety protocols.

Assure facility security and respond to alarms or equipment failures promptly.

Advise on and monitor energy efficiency.

Generate regular reports on facility budgets, expenditures, contracts, and energy efficiency initiatives.

Maintain accurate records of facility-related operations.

Experience:
Minimum of three years of relevant experience in a similar industry or work environment.

Minimum of three years of leadership experience in a related field.
Skills and Capabilities:
Proven leadership and team management skills.

Strong verbal and written communication abilities.

In-depth knowledge of local, state, and federal employment laws relating to responsibilities.

OSHA certification (preferred).
Language and Communication Skills:
Ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals. Ability to write routine reports and correspondence. Effective public speaking and communication skills, particularly with groups of employees.
Mathematical Skills:
Ability to calculate figures such as discounts, interest, commissions, and percentages. Ability to apply concepts of basic algebra and geometry as necessary for the role.
Reasoning and Problem-Solving Abilities:
Ability to solve practical problems and navigate situations where only limited standardization exists. Proficient in interpreting a variety of instructions in written, oral, diagram, or schedule form.
Other Skills and Abilities:
Proficient in personal computing, with skills in word processing, spreadsheets, and database management. Committed to performing all work in compliance with company standards for quality, quantity, and safety.
Physical Demands:
Regularly required to sit, use hands to handle or operate tools, and communicate clearly. Occasionally required to stand, walk, stoop, kneel, crouch, or crawl. Must occasionally lift and/or move up to 25 pounds. Specific vision abilities required include close vision and the ability to adjust focus.
Work Environment:
