Job Description

Company Overview Community Affairs and Resource Center is a dedicated nonprofit organization committed to empowering low-income and working poor families in Asbury Park. As a multilingual agency, we focus on promoting self-sufficiency through education, advocacy, and collaboration to strengthen communities and improve lives. Job Overview Responsible for maintaining accurate financial records and handling confidential information. Position supports the Human Resources and Finance department, ensuring compliance. Position reports to the HR Director.
Essential Duties and Responsibilities:
  • Process and prepare vendor and expense reimbursement checks accurately and on time.
  • Verify invoices, approvals, and supporting documentation before issuing payment.
  • Maintain organized digital and physical filing systems for accounting records and payment documentation.
  • Scan, upload, and archive invoices, receipts, and related financial documents according to company procedures.
  • Responsible for making weekly deposits to local bank branches.
  • Address inquiries from vendors, customers, and staff regarding payments and accounts.
  • Manage cashiering duties, including receiving money and issuing receipts.
  • Reconcile monthly American Express statements by matching charges to receipts, invoices, and expense reports.
  • Responsible for taking priority mail to the local post office.
  • Gather and track insurance documents.
  • Maintaining and tracking employee records, filing, and copying.
  • Performs other duties as required.
Qualifications and Required Skills:
  • Familiarity with QuickBooks, specifically for invoicing and bank reconciliation.
  • Ability to handle confidential information.
  • Excellent verbal and written communication skills.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Able to maintain a cheerful and empathetic disposition during high-volume periods.
  • A team player who supports colleagues and fosters a collaborative work environment.
  • Proficient with Microsoft Office Suite or related software.
  • Ability to travel once or twice a week to local bank branches and post office locations.
Education and Experience A high school diploma or equivalent required. An associate degree preferred
Physical Requirements:
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at a time.
Work Schedule & Expectations:
  • Monday-Friday, 8:30am
  • 12:30pm, or Monday
  • Thursday 8:30am
  • 1:30pm.
  • May require an occasional evening or Saturday.
