Position Summary The Asset Management Coordinator supports the Asset Management team in overseeing the financial, operational, and leasing performance of the Company's commercial real estate portfolio. This is a junior-level asset management position combining coordination responsibilities with financial analysis, tenant credit underwriting, lease analysis, reporting, market research, and project support. The Coordinator will work closely with the Asset Analyst, Asset Manager, and other Asset Management team members on property-level assignments, tenant underwriting, leasing matters, financial reporting, property performance analysis, and special projects. A significant responsibility of the position will be assisting with the underwriting and credit evaluation of prospective tenants. The Coordinator will review tenant applications and supporting financial information, evaluate creditworthiness and financial capacity, identify potential risks or missing information, and prepare underwriting summaries for Asset Management review. The Coordinator will also assist with gathering, organizing, and analyzing property, tenant, lease, and financial information; coordinating with other departments; tracking assignments and deadlines; and following up on outstanding matters to help ensure Asset Management initiatives are completed accurately and timely. The position will work regularly with Property Management, Accounting, Leasing, brokers, consultants, lenders, vendors, prospective tenants, and other internal and external parties. Key ResponsibilitiesAsset Management Team Support
- Work closely with the Asset Analyst, Asset Manager, and other Asset Management team members on day-to-day asset management activities.
- Provide direct support on assigned properties, leasing matters, financial analyses, tenant matters, projects, and other asset-level initiatives.
- Gather, organize, review, and analyze financial, operational, leasing, tenant, and property information required by the Asset Management team.
- Assist with financial analysis, lease analysis, property performance reviews, market research, and other asset management assignments.
- Prepare supporting schedules, analyses, reports, summaries, presentations, and research for Asset Management review.
- Coordinate with Asset Management team members to track assignments, deadlines, management directives, and action items through completion.
- Maintain and regularly update property trackers, project schedules, action-item lists, and other Asset Management tracking tools.
- Provide updates regarding outstanding assignments, upcoming deadlines, and matters requiring additional attention.
- Assist with preparation for property reviews, internal meetings, broker meetings, lender requests, property visits, and management discussions.
- Follow up with Property Management, Accounting, Leasing, brokers, consultants, lenders, vendors, and other parties to obtain required information and complete assigned tasks.
- Assist with implementing and following through on decisions and directives established by the Asset Manager or Executive Management.
- Identify discrepancies, outstanding issues, or matters requiring additional review and bring them to the attention of the appropriate Asset Management team member.
- Assist with portfolio-wide projects, due diligence, financing requests, leasing initiatives, and other special assignments as directed. Tenant Credit Underwriting & Leasing Analysis
- Assist with the underwriting and credit evaluation of prospective tenants applying for available units, as well as tenants involved in renewals, assignments, expansions, or other leasing transactions.
- Review and analyze tenant applications and supporting financial information, including financial statements, tax returns, bank statements, credit reports, sales information, business history, ownership information, guarantor information, and other documentation.
- Evaluate prospective tenants' financial strength, creditworthiness, liquidity, operating history, and demonstrated ability to meet proposed lease obligations.
- Review available credit information and identify material concerns, inconsistencies, outstanding obligations, or other potential risk factors.
- Evaluate the financial strength of proposed personal or corporate guarantors and identify areas requiring additional documentation or clarification.
- Compare an applicant's financial capacity against proposed Base Rent, CAM/NNN charges, and other anticipated occupancy costs.
- Identify missing, incomplete, or inconsistent information within tenant applications and financial packages and coordinate with Leasing, brokers, and other parties to obtain the necessary information.
- Conduct supplemental research regarding prospective tenants, ownership groups, business concepts, operating histories, and existing locations.
- Prepare concise tenant underwriting and credit summaries outlining the applicant's business background, financial condition, credit profile, proposed lease obligations, key strengths, identified risks, and outstanding underwriting items.
- Assist the Asset Analyst and Asset Manager in evaluating whether additional credit support may be appropriate, including increased security deposits, personal or corporate guarantees, letters of credit, prepaid rent, or other forms of financial security.
- Maintain organized records of tenant applications, financial documentation, credit information, underwriting analyses, and approval materials. Lease & Transaction Analysis
- Assist with evaluating proposed new leases, renewals, extensions, expansions, assignments, and other leasing transactions.
- Review Base Rent, percentage rent, CAM/NNN charges, tenant improvement allowances, rent abatements, commissions, escalation structures, options, security deposits, guarantees, and other economic terms.
- Prepare lease comparison schedules and financial analyses to evaluate proposed transactions.
- Analyze the financial impact of proposed lease terms and assist Asset Management in evaluating whether the economics and credit profile are appropriate for the property.
- Compare proposed transactions against existing leases, historical transactions, comparable transactions, market information, and property objectives.
- Assist with reviewing Letters of Intent (LOIs), leases, amendments, assignments, and other lease-related documents from a business, financial, and credit perspective.
- Track tenant applications, leasing proposals, underwriting requirements, approvals, and outstanding negotiations through completion.
- Coordinate with Leasing, brokers, and other parties to obtain the financial and business information required to evaluate prospective tenants and transactions.
- Prepare supporting information for Asset Management's tenant approval and leasing decisions. Financial Analysis & Reporting
- Assist with monthly, quarterly, and annual property financial performance reviews.
- Review and analyze rent rolls, operating statements, general ledger information, budgets, forecasts, and other financial reports.
- Review budget-to-actual results and assist with investigating material variances.
- Analyze property-level revenue and expense trends.
- Assist with NOI calculations, financial projections, and other property-level analyses.
- Prepare Excel schedules, financial summaries, and analytical reports for Asset Management.
- Organize financial information received from Accounting and Property Management for Asset Management review.
- Identify unusual changes in revenue, expenses, occupancy, or other financial metrics and research potential causes.
- Assist with management presentations, executive summaries, and periodic portfolio reporting. Lease Administration & Critical Dates
- Monitor lease commencement dates, rent commencement dates, expiration dates, renewal options, termination rights, rent increases, and other significant lease dates.
- Track tenant openings, closures, relocations, expansions, assignments, and lease amendments.
- Assist with verifying that key lease terms are accurately reflected in internal reports, trackers, and systems.
- Coordinate with Property Management and Accounting regarding tenant commencement, rent commencement, abatements, and other lease-related events.
- Identify inconsistencies between executed lease documents, rent rolls, accounting records, and internal reports.
- Maintain organized lease and tenant information for Asset Management purposes.
- Alert the Asset Management team to approaching critical dates and matters requiring attention. Budgeting, Forecasting & Operating Expenses
- Assist with reviewing annual property operating budgets.
- Review budget-to-actual variances and assist in identifying explanations for material differences.
- Assist with forecasting property-level revenue, operating expenses, and NOI.
- Support Asset Management with reforecasting and other financial planning exercises.
- Assist with reviewing Common Area Maintenance (CAM), operating expenses, property taxes, insurance, and tenant recovery information.
- Coordinate with Property Management and Accounting to obtain explanations and supporting documentation for material variances. Portfolio & Market Research
- Conduct research on commercial real estate markets, prospective tenants, competitors, comparable properties, rental rates, and industry trends.
- Gather market rent and comparable transaction information to support leasing and Asset Management decisions.
- Research prospective tenants, business concepts, existing locations, and relevant market information.
- Assist with reviewing broker materials, market reports, comparable leases, and other market information.
- Maintain organized market and property research for future Asset Management use. Cross-Department Coordination
- Coordinate with Property Management, Accounting, Leasing, and other departments to obtain information required by Asset Management.
- Follow up on outstanding assignments and management directives to help ensure timely completion.
- Help ensure Asset Management receives accurate and timely financial, leasing, tenant, and property information.
- Assist with resolving discrepancies between property operations, lease documents, accounting records, and management reports.
- Participate in Asset Management meetings and prepare supporting materials, notes, and follow-up items as requested.
- Maintain action-item trackers and follow up with responsible parties regarding deadlines and deliverables.
- Assist with coordinating property visits, broker discussions, internal meetings, and other asset-related activities. Data Management & Systems
- Maintain accurate property, tenant, lease, and Asset Management information in internal trackers and systems.
- Assist with reviewing property and lease information maintained in Yardi or similar property management/accounting systems.
- Maintain Excel spreadsheets, analytical schedules, property summaries, underwriting files, and portfolio trackers.
- Ensure supporting documentation is organized, accurate, and readily accessible.
- Assist with improving Asset Management reporting templates, trackers, and internal processes.
- Identify opportunities to improve the accuracy and efficiency of Asset Management reporting and workflows. Qualifications
- Bachelor's degree in Finance, Real Estate, Accounting, Economics, Business Administration, or a related field preferred.
- Recent graduates and entry-level candidates with relevant academic, internship, or professional experience are encouraged to apply.
- Prior commercial real estate, banking, finance, accounting, underwriting, or related experience is preferred but not required.
