Job Description

Job description: The Payroll Accountant is responsible for overseeing payroll processing, accounts payable, and general accounting functions to support the organization's financial operations. This position ensures the accurate and timely processing of payroll, maintenance of financial records, compliance with applicable laws and company policies, and preparation of financial reports and analyses. The Payroll Accountant regularly interacts with employees, physicians, management, vendors, auditors, financial institutions, payroll service providers, and regulatory agencies.
HOURS:
Full-time; Monday-Friday, 8:00 a.m.-5:00 p.m. (Hours may vary depending on business needs.)
Location:
Laguna Hills, California. Applicants must reside within a 30-mile radius of the headquarters in Laguna Hills, CA.
JOB RESPONSIBILITIES
Processes and reviews biweekly payroll for employees and providers, ensuring accurate and timely payment. Maintains employee payroll records, including new hires, terminations, compensation changes, deductions, direct deposits, and tax withholdings. Coordinates payroll-related activities with Human Resources to ensure accurate employee data and compliance. Reconciles payroll registers to the general ledger and investigates and resolves discrepancies. Coordinates payroll tax reporting, filings, garnishments, and related compliance requirements.

Assists with year-end payroll activities and reconciliations. Responds to employee payroll inquiries and resolves payroll-related issues in a timely manner. Supports payroll-related audits, including audits related to employee benefits and retirement plans. Processes accounts payable transactions, including invoice review, payment processing, vendor maintenance, check requests, manual and voided checks, and related documentation in accordance with company policies and procedures. Performs cash, bank account, payroll, and corporate credit card reconciliations and investigates discrepancies as needed. Maintains records related to recurring expenses, leases, vendor information, W-9 documentation, and other financial obligations to ensure timely payments. Coordinates annual Form 1099 preparation and reporting in compliance with applicable regulations. Processes employee and physician business expense reimbursements in accordance with company policies. Assists with general ledger maintenance, including preparing and posting journal entries, account reconciliations, and supporting schedules. Prepares financial reports, analyses, and audit support documentation as requested by management.

Assists with maintaining accounting records related to contracts, leases, licenses, taxes, fixed assets, and other company obligations.

Supports month-end and year-end close activities, including account reconciliations and preparation of supporting schedules. Communicates professionally with vendors, employees, financial institutions, auditors, payroll service providers, and regulatory agencies regarding payroll and accounting matters. Maintains confidentiality of employee, payroll, financial, patient, and proprietary business information. Performs other duties and special projects as assigned.
EDUCATION & EXPERIENCE REQUIRED
Bachelor's degree in Accounting, Finance, Business Administration, or a related field required. Minimum of two years of payroll, accounting, or related financial experience required. Experience processing multi-entity payroll preferred. Experience with payroll systems such as ADP, Paychex, or similar platforms preferred. Experience with account reconciliations, general ledger functions, accounts payable, and financial reporting. Proficiency in Microsoft Office applications, particularly Excel, Outlook, and Word.
SKILLS & QUALIFICATIONS
Knowledge of payroll laws, wage and hour regulations, payroll tax requirements, and payroll best practices. Knowledge of accounts payable processes, account reconciliations, and financial reporting. Strong analytical, organizational, and problem-solving skills. Exceptional attention to detail and accuracy. Strong customer service and interpersonal skills. Advanced proficiency in Microsoft Excel and financial software applications. Ability to manage multiple priorities and meet deadlines in a fast-paced environment. Ability to maintain strict confidentiality and exercise sound judgment. Ability to communicate effectively with employees, management, physicians, and external partners. Ability to work independently while collaborating effectively with cross-functional teams. Ability to handle sensitive payroll, financial, employee, and patient information appropriately.
