Job Description
Description We are seeking a detail-oriented and organized Property Manager to support the day-to-day operations for a client in Newport Beach. This contract only opportunity is ideal for someone with experience in property administration, office administration, or a related field who enjoys a fast-paced environment and providing excellent tenant service. Key Responsibilities Support the day-to-day administrative and operational needs of the property to ensure a well-organized and efficiently managed medical office environment. Serve as a point of contact for tenants, responding to questions, service requests, and general property needs in a timely and detail oriented manner. Coordinate and track maintenance requests, work orders, vendor schedules, and completion of building services. Assist with vendor and service contract administration, including maintaining records, monitoring scheduled services, and following up on outstanding items. Prepare and maintain operational and financial reports, including occupancy, service activity, budget, and expense-related information. Assist with accounts payable and accounts receivable, including reviewing invoices, supporting billing activities, and tracking payments. Assist with monitoring property budgets and expenses by maintaining accurate financial records and identifying discrepancies or variances. Maintain organized and accurate property files, management system records, and other administrative documentation. Provide general administrative support to property management and assist with special projects and other operational needs as assigned. Communicate effectively with tenants, vendors, contractors, and internal teams to help ensure issues are addressed efficiently and professionally. Requirements
- Experience in property administration, assistant property management, or a similar real estate support role.
- Working knowledge of accounts payable, accounts receivable, billing processes, and general accounting support functions.
- Proficiency with property management and accounting platforms, including Yardi Voyager or comparable systems.
- Ability to organize multiple priorities, manage timelines, and maintain accuracy in a fully onsite office setting.
- Strong communication skills with the ability to interact professionally with tenants, vendors, and internal stakeholders.
- Familiarity with budget tracking, reporting, and basic financial analysis related to property operations.
- Comfort using management systems and accounting software to maintain records, generate reports, and support daily operations.
