Full-Time Job Summary The Accounting & Administrative Coordinator is responsible for managing the company's daily financial and administrative functions. This role supports project managers and leadership by processing invoices, maintaining accurate financial records, coordinating vendor payments, and assisting with general office operations. The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced construction environment. Key Responsibilities Process accounts payable and accounts receivable. Create and send customer invoices. Monitor aging reports and follow up on outstanding receivables. Process subcontractor and vendor payments. Collect and organize W-9s, Certificates of Insurance, and lien waivers. Reconcile company credit cards and bank statements. Assist with payroll preparation and employee expense reports. Maintain vendor and customer records. Track purchase orders and job costs. Assist with month-end reporting and financial documentation. Answer phones and assist with general office administration. Support project managers with administrative tasks as needed. Qualifications 2+ years of accounting, bookkeeping, or office administration experience. Experience with QuickBooks (Online or Desktop preferred). Microsoft Excel proficiency. Strong organizational and communication skills. Ability to manage multiple priorities with attention to detail. Construction industry experience is a plus but not required.
