We specialize in site development, underground utilities, earthwork, grading, demolition, and heavy civil construction throughout Northeast Florida. Position Summary McLain Site Solutions is seeking a detail-oriented Construction Accountant to support the financial success of our heavy civil construction projects. This position is responsible for managing accounts payable and accounts receivable, project accounting, job costing, billing, subcontractor compliance, and financial reporting. The ideal candidate has experience in construction accounting, understands project budgets and job costs, and works closely with Project Managers, Superintendents, vendors, subcontractors, and executive leadership to ensure accurate and timely financial operations. Essential Responsibilities Project Accounting Maintain project budgets, job cost reports, and cost tracking. Monitor project costs against approved budgets and identify cost variances. Assist Project Managers with job cost reporting and project financial analysis. Track project commitments, purchase orders, subcontractor costs, and change orders. Assist with construction draw tracking and project funding documentation. Accounts Payable Process vendor invoices, purchase orders, and employee expense reports. Review and reconcile vendor statements and resolve discrepancies. Prepare weekly and monthly check runs. Maintain accurate vendor records and payment schedules. Manage subcontractor compliance, including lien waivers, insurance certificates, W-9s, and subcontract agreements. Ensure all payments comply with company policies and contract requirements. Accounts Receivable Prepare and submit customer invoices based on contracts, change orders, and progress billings. Process customer payments and apply receipts accurately. Monitor outstanding receivables and follow up on overdue accounts. Reconcile customer accounts and resolve billing discrepancies. Maintain accurate customer records and project billing documentation. Accounting & Financial Reporting Prepare and post journal entries. Assist with monthly bank and account reconciliations. Support month-end and year-end closing activities. Prepare reports for accounts payable, accounts receivable, aging, cash flow, and project financial performance. Assist with audits and provide supporting financial documentation. Ensure compliance with Generally Accepted Accounting Principles (GAAP). Collaboration & Process Improvement Work closely with Project Managers, Superintendents, Estimators, and Executive Leadership. Coordinate with vendors, subcontractors, customers, and financial institutions. Identify opportunities to improve accounting processes, reporting, and internal controls. Support the implementation and ongoing use of accounting and construction management software. Perform additional duties as assigned. Qualifications Required High School Diploma or GED required; Associate's or Bachelor's degree in Accounting, Finance, Business, or a related field preferred. Minimum 2-5 years of Accounts Payable, Accounts Receivable, or Project Accounting experience. Construction accounting experience required; heavy civil or site development experience preferred. Strong understanding of job costing and project accounting. Experience processing progress billings, subcontractor invoices, purchase orders, and change orders. Proficiency in QuickBooks , Contractor Foreman , and Microsoft Excel. Strong understanding of GAAP and accounting principles. Excellent organizational, analytical, and problem-solving skills. Ability to manage multiple projects and meet deadlines. Excellent verbal and written communication skills. Preferred Experience with heavy civil construction, underground utilities, earthwork, or site development projects. Experience with construction loan draws and project funding. Experience working with lien waivers, insurance certificates, subcontractor compliance, and project documentation. Experience preparing Work-in-Progress (WIP) reports and project financial reporting. Experience supporting audits and financial statement preparation. Physical Requirements Ability to sit for extended periods while working on a computer. Frequently use hands for keyboarding and operating office equipment. Occasionally lift and carry up to 25 pounds. Ability to occasionally visit active construction sites while wearing required PPE. Work Environment This position is primarily office-based with occasional visits to active construction sites. Employees may occasionally be exposed to outdoor weather conditions, construction equipment, dust, noise, and active job site operations. Required PPE must be worn while visiting project sites.
Schedule Monday-Friday Typical hours:
7:00 AM - 5:00 PM One-hour unpaid lunch Additional hours may be required during month-end close or project deadlines.
