Job Description

Administrative and Accounting Specialist Our client is looking for an Administrative and Accounting Specialist for immediate hire to support expansion into the Florida construction market. This person will support daily construction operations and accounting functions, including contract preparation, invoicing, payroll processing, accounts receivable, accounts payable, scheduling, materials ordering, permitting, collections, and project documentation.
Essential Duties:
  • Data entry for Bills, and Receipts into QuickBooks, assuring that all expenses are entered into the appropriate Business Class.
  • Manage licenses and permits when needed, in support of the Project Coordinator.
  • Assure all Credit card receipts are entered into the Accounting System, and keep a log to be reviewed with the CFO.
  • Assist in day-to-day reporting functions for senior management.
  • Assist in month-end and year-end financial reconciliation.
  • Support in materials ordering with the Project Coordinator.
  • Support the Project Coordinators in reconciling field activity to the QuickBooks Project reports.
  • Supporting the Project Coordinators in allocation of bills, job costing, project advance scheduling, reception of field reports, and permitting.
Requirements:
  • 2+ years of experience in accounting/bookkeeping, ideally in the construction industry.
  • High School Diploma or Equivalent is required.
  • Advanced Quickbooks Online experience is required.
