Job Description

We are seeking a detail-driven, self-motivated accounting professional looking to join a small team for a full service real estate brokerage. This is an exciting opportunity to thrive in a fast-paced, collaborative environment for an established Real Estate brokerage specializing in real estate, property management, and community association management. The ideal candidate will be responsible for a variety of accounting and administrative tasks, ensuring the smooth operation of our financial processes and supporting the broader management team.
Key Responsibilities :
Accounting and Financial Reporting Maintain records according to generally accepted accounting principles including the recordation of general journal entries, accounts payable, and accounts receivable. Completing all financial transactions in a timely and accurate manner. Able to maintain accurate records in two accounting systems; upload files from Appfolio into QBO to record income Preparing daily bank deposits, monthly reconciliations, and cash receipt entries, as needed. Reconcile bank statements by comparing transactions with the general ledger. Prepare and post journal entries as needed to maintain accurate financial records. Prepare and deliver monthly financial reports in accordance with deadlines and requirements. Process owner distributions and contributions, ensuring accurate documentation. Assist in year-end tax preparation and generate owner statements. Review financial data in legal documents, including management agreements, leases, and tax documents, to ensure proper accounting software setup. Accounts Payable and Receivable Coordinate approval and payment of property payables. Account for all real estate sales commissions and maintain accurate sales agent accounting Run weekly/bi-weekly payables in multiple accounting systems; able to record and analyze AP report Ensure detailed coding of all receivables to multiple ledgers; reconcile and audit as needed Prepare and process security deposits upon move-out. Research and resolve discrepancies in vendor/tenant/owner ledgers. Collaborate with property management to analyze ledgers and address financial questions. Compliance and Regulatory Tasks Process compliance-related notices such as NTVs (Notices to Vacate), NOLAs (Notices of Late Assessment), Intent to Liens, and Three-Day Notices. Ensure compliance with all security deposits collected per FL Statutes Assist with audit information requests and ensure compliance with policies and procedures. Administrative Support and Organization Maintain organized documentation on shared company drives, following senior management guidelines. Assist with administrative tasks, special projects, and audit preparation as assigned. Ensure all data and processes adhere to established company policies and procedures. Automation and Process Improvement Identify opportunities to improve the automation of accounting and reporting processes. Leverage technology to streamline financial workflows and enhance accuracy.
Qualifications :
Education and Experience Bachelor's degree in accounting, Finance, or a related field preferred but not mandatory. At least 2 years of property accounting experience, preferably in real estate or property management. Understanding of full-cycle accounting Skills and Competencies Strong oral and written communication skills. Exceptional organizational and problem-solving abilities. Attention to detail and accuracy in financial reporting. Customer service-oriented approach with a professional demeanor. Ability to work in a team environment with changing demands and timelines. Ability to interpret data and make cost effective decisions. Proficiency in MS Office (Excel, Word, Outlook); experience with AppFolio, QuickBooks and MLS is preferred. Personal Attributes Ability to handle confidential and sensitive information. Strong work ethic with a positive, proactive approach. Capable of working independently and collaboratively in a fast-paced environment. Aptitude for managing multiple tasks, setting priorities, and meeting deadlines under pressure.
