full-time Position Summary We are looking for an experienced Lease Administrator with a strong background in commercial real estate to oversee the complete lease administration process for a portfolio of commercial properties. The ideal candidate will have 3 + years of hands-on experience with MRI Software , along with demonstrated expertise in CAM billing and CAM reconciliation . This position requires a highly detail-oriented and analytical professional who can confidently interpret complex lease agreements, maintain accurate lease data, and ensure billing, reporting, and compliance requirements are met. The successful candidate will work closely with Property Managers, Property Accountants, tenants, and leasing teams to support accurate and efficient portfolio management. Key Responsibilities Abstract, enter, and maintain accurate lease information in MRI Software , including critical dates, rent schedules, options, escalations, and other key lease provisions. Prepare and process monthly, quarterly, and annual CAM billings , ensuring accuracy and timely delivery across the property portfolio. Complete annual CAM reconciliations , including tenant pro-rata share calculations, analysis of recoverable and non-recoverable expenses, and preparation of tenant true-up statements. Review and interpret lease agreements to identify billing requirements, escalation provisions, exclusions, caps, and recovery terms related to CAM, real estate taxes, and insurance. Research and respond to tenant questions, discrepancies, and disputes regarding CAM charges and reconciliations, providing clear documentation and explanations. Monitor critical lease dates, including renewals, expirations, options, and rent escalations, and coordinate updates with Property Management and Leasing teams. Maintain accurate tenant ledgers and assist with billing adjustments, credits, corrections, and rent abstracts. Partner with Property Accountants and Property Managers to ensure lease information aligns with budgets, financial reporting, and audit requirements. Provide historical CAM information, expense trends, and supporting data for annual budget preparation. Support internal and external audits by preparing lease abstracts, CAM reconciliation documentation, and other required materials. Ensure lease administration activities comply with contractual requirements and company policies, identifying and escalating discrepancies or potential risks. Maintain well-organized, accurate, and audit-ready electronic and physical lease files. Qualifications 5+ years of lease administration experience within commercial real estate, preferably across office, retail, or industrial properties.

Required:

Strong proficiency with MRI Software ; experience with MRI lease abstraction modules is highly preferred. Proven experience with CAM billing and CAM reconciliation , including recoverable expense analysis, pro-rata calculations, and tenant true-ups. Strong understanding of commercial lease terminology and provisions, including operating expenses, gross-up clauses, caps, exclusions, and recovery structures. Advanced Microsoft Excel skills, including PivotTables, VLOOKUP/XLOOKUP, and reconciliation models. Strong analytical, organizational, and problem-solving skills with exceptional attention to detail. Excellent written and verbal communication skills, including experience managing tenant-facing inquiries and correspondence. Ability to manage multiple properties, priorities, and deadlines in a fast-paced environment. Bachelor's degree in Accounting, Finance, Business, Real Estate, or a related field preferred; equivalent professional experience will be considered.
