Job Description
Responsibilities:
- Review incoming invoices for accuracy, organize them for processing, and prepare batches for timely payment activities.
- Process employee expense submissions and confirm supporting documentation is complete and aligned with company guidelines.
- Prepare, record, and distribute payments, including handling check processing and coordinating urgent payment requests when needed.
- Manage accounts receivable support by creating customer invoices, updating records, and following through on routine billing activities.
- Investigate and help resolve accounts payable discrepancies by communicating with vendors and internal stakeholders.
- Maintain orderly financial documentation by sorting, copying, filing, and tracking invoices, checks, and related accounting records.
- Distribute department mail and correspondence, ensuring incoming items are routed promptly to the appropriate team members.
- Assist with audit preparation and provide documentation support for internal reviews and external audit requests.
- Deliver administrative and clerical assistance to AP, AR, and Finance teams while completing additional accounting-related assignments as needed. Requirements
- Hands-on knowledge of accounts payable and accounts receivable processes.
- Experience entering financial data with accuracy and strong attention to detail.
- Familiarity with basic accounting entries and transactional recordkeeping.
- Ability to work effectively with Microsoft Excel for tracking, organizing, and reviewing data.
- Understanding of job cost concepts and their use in accounting support activities.
- Strong organizational skills with the ability to manage multiple tasks in a deadline-driven setting.
- Clear communication skills and a detail-oriented approach when supporting internal business partners.
