We are seeking a highly organized and responsible Office Associate / Manager, Accounting & Administration to support the day to day financial and administrative operations of our Greensboro office. This position will work closely with company management, accounting professionals, employees, customers, and vendors. Key ResponsibilitiesAccounting & Financial Administration Manage day to day accounting and bookkeeping activities. Process accounts payable and accounts receivable. Prepare and issue invoices and track customer payments. Review and process vendor invoices and employee expenses. Maintain accurate financial records and supporting documentation. Perform bank and credit card reconciliations. Assist with monthly and year end financial closing activities. Maintain expense records and assist with budget tracking. Support cash flow and financial reporting activities. Coordinate with external accountants, CPA firms, and tax professionals. Support preparation of financial information for management, investors, government programs, and audits. Maintain organized records for contracts, purchase orders, invoices, payments, and financial transactions. Office & Business Administration Support daily office operations and general business administration. Maintain corporate, administrative, and business records. Coordinate documents, contracts, correspondence, and internal approvals. Support vendor and customer administrative activities. Assist with employee onboarding and offboarding documentation. Maintain employee and administrative records. Support payroll administration and employee expense processing. Coordinate with external payroll, insurance, benefits, accounting, and professional service providers. Assist management with administrative projects and company operations. Develop and maintain organized administrative procedures as the company grows. Federal Project Administration Soelect participates in U.S. Government funded research and development programs.
The candidate may support:
Financial and administrative documentation for federal R D projects. Project expense and budget tracking. Invoice and payment documentation. Labor and project cost records. Supporting documentation for project reporting and audits. Coordination with technical program managers and accounting personnel. Qualifications Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field is preferred. Relevant professional experience may substitute for formal education. Experience with accounting, bookkeeping, finance administration, or office administration. Strong organizational skills and attention to detail. Ability to handle financial and company information responsibly and confidentially. Strong proficiency with Microsoft Excel and standard office software. Ability to manage multiple responsibilities and deadlines independently. Comfortable working in a small, fast moving technology company. Preferred Qualifications Experience in several of the following areas is preferred: QuickBooks or similar accounting software Accounts payable and accounts receivable Bookkeeping Bank reconciliation Payroll administration Expense management Financial reporting support Budget tracking Federal project accounting or administration Government R D projects Startup or small business administration HR administration Employee benefits administration Audit support Working with external CPA or accounting firms Position Level We are open to candidates at different career levels.
Associate Level:
Candidates with approximately 3 to 7 years of relevant accounting, bookkeeping, or administrative experience.
Manager Level:
Candidates with approximately 7 or more years of relevant experience who can independently manage accounting and administrative operations and establish effective internal processes. The final title and responsibilities will be determined based on the candidate's experience and capabilities.
