Construction Accounting & Administrative Coordinator William P. Davis Excavation LLC is seeking a dependable, highly organized Construction Accounting & Administrative Coordinator to join our office team. This is a full-time position responsible for many of the day-to-day accounting and administrative functions that keep our heavy civil construction company operating smoothly. We are looking for someone who is naturally organized, pays close attention to detail, follows things through to completion, and takes pride in accurate work. Construction accounting experience is preferred, but we are also willing to train the right person who has strong accounting or bookkeeping experience and the right attitude and attention to detail. What You'll Be Responsible For This position will gradually take responsibility for a well-established group of accounting and administrative processes, including: Accounts payable and accounts receivable QuickBooks transaction entry and maintenance Payroll processing and administration Customer invoicing and billing support Bank and credit card reconciliations Vendor and subcontractor paperwork Certificates of insurance and compliance documentation Contract and subcontract administration Employee paperwork and recordkeeping Maintaining customer and vendor information Following up on outstanding documentation and information Maintaining organized electronic records Assisting with job-cost and project-related accounting information Coordinating with Project Managers on billing and administrative requirements Maintaining recurring accounting and administrative deadlines General administrative responsibilities as required You will receive training on our existing processes and will work closely with an experienced member of our team during the transition into the position. Our goal is for the successful candidate to become increasingly independent as they learn the company and eventually take full ownership of the routine accounting and administrative responsibilities of the position. The Person We're Looking For For this position, how you work is just as important as what you've done before. We are looking for someone who genuinely pays attention to details. You notice when numbers don't match. You keep track of what you're waiting for. If something is due Friday, you don't need someone reminding you Thursday afternoon. If you're missing information, you ask for it and follow up until you receive it. You like keeping things organized. You don't leave loose ends. And when you make a commitment, you take responsibility for seeing it through.
The ideal candidate is:

We would rather have someone who completes the work correctly and makes sure nothing falls through the cracks. Preferred Experience Experience in any of the following is helpful: QuickBooks Bookkeeping or accounting Accounts payable / accounts receivable Payroll Construction billing Construction administration Contract administration Job-cost accounting Vendor/subcontractor management Insurance certificates and compliance documentation Microsoft Office Experience working for an excavation contractor, general contractor, subcontractor, site contractor, utility contractor, or other construction company is especially valuable. However, construction experience is not an absolute requirement for a candidate with strong bookkeeping/accounting fundamentals, excellent attention to detail, and the ability to learn. What Success Looks Like As you become established in the position: Payroll is processed accurately and on time. Bills and invoices are entered correctly. Accounts remain organized and reconciled. Required paperwork doesn't fall through the cracks. Administrative deadlines are known and handled before they become emergencies. Outstanding items are followed up on without someone having to remind you. Information is easy to find. And the rest of the company can rely on the accounting and administrative side of the office being handled correctly. Over time, we want this to become your area of responsibility rather than a list of individual tasks someone needs to continually assign to you. About WP Davis William P. Davis Excavation LLC is a growing heavy civil excavation contractor. Our work includes excavation, earthwork, utilities, site development, and other heavy civil construction. We are continuing to invest in our people, equipment, technology, and internal systems as the company grows. This position offers an opportunity to join an established construction company, learn our accounting and administrative systems from an experienced team member, and grow into greater responsibility over time.

From $30.00 per hour
