Purpose of the Position The Staff Accountant provides day-to-day accounting support and serves as a key accounting link between the Director of Finance, the company owner, the Administration & Operations Lead, and management throughout the organization. The position strengthens accounting capacity, financial reporting, internal controls, and continuity while providing an important accounting resource within the organization. Reporting & Working Structure Reports to: Director of Finance, Administration & HR. Works closely with owner, the Administration & Operations Lead, Operations, and department management, as well as external accountants, auditors, banks, and advisors. Serves as the accounting partner between the Director of Finance and Administration and the Operations Lead, supporting coordination, review, communication, cross-training, and continuity across accounting processes.
Support daily accounting, monthly/quarterly/annual close, reconciliations, journal entries, schedules, financial reporting, budget-to-actual analysis, and management ad hoc reporting.
Accounts Receivable:
Process accounts receivable, coordinate invoicing and payment posting, reconcile customer accounts, monitor outstanding balances, and resolve billing inquiries.
Accounts Payable:
Review AP for accuracy, coding, documentation, and approvals; review vendor activity; and support reconciliations and payment controls.
Payroll & Personnel Support:
Support semi-monthly payroll processing and provide personnel administration support, including employee documentation, health insurance changes, and payroll withholding updates.
Internal Controls & Process Support:
Support internal controls, identify discrepancies and risks, maintain procedures, and improve accounting accuracy and efficiency.
Cross-Training & Backup:
Cross-train with the Administration & Operations Lead and other employees and provide backup for AR, AP, reconciliations, payroll, and other essential functions.
Management Liaison:
Coordinate accounting information among the Director of Finance, the business owner, the Administration & Operations Lead, and management; obtain needed information and elevate significant issues appropriately.
ERP Implementation:
Serve as a key accounting team member in the design, selection, configuration, implementation, testing, and adoption of an ERP/accounting system. Help translate accounting and operational requirements into practical system workflows, controls, reporting, and procedures. Education & Experience Education Bachelor's degree in Accounting, Finance, or a closely related field required. Four-year B.S. in Accounting preferred. Experience 3-5 years of progressive accounting experience, preferably in a multi-entity or operational business environment. Experience with general ledger accounting, account reconciliations, accounts payable, accounts receivable, journal entries, and financial reporting. Experience supporting month-end and year-end close processes. Experience with payroll accounting and related personnel administration preferred. Experience with accounting systems or ERP implementation, conversion, or process improvement preferred. Strong working knowledge of accounting principles, internal controls, and financial documentation. Experience working collaboratively with management, operations, external accountants, auditors, banks, or other financial advisors preferred. Role Scope & Collaboration Contributes directly to the organization's accounting function while working within the overall direction and priorities established by the Director of Finance. Partners with the Administration & Operations Lead to create clear, efficient, and well-controlled accounting workflows. Strengthens continuity and reduces reliance on any single individual through accounting review, coordination, cross-training, and backup support. Supports management with accurate financial information while maintaining appropriate roles, responsibilities, approvals, and segregation of duties. Brings accounting knowledge and operational understanding to process improvement, system implementation, and organizational growth. Works collaboratively across departments and escalates significant accounting, financial, operational, or control matters to the Director of Finance.
