Job Description

Work Setting:
Office-based with occasional work performed on-site at client locations Starting at $15/hour with a defined advancement path to $26+/hour based on demonstrated bookkeeping skills and responsibility. A highly qualified applicant may be able to test directly into $17 or $19/hour after a short introductory period. Position Summary We are seeking a dependable, organized, and detail-oriented individual to provide part-time administrative and basic accounting support to our team and our clients. This is a flexible support position that will include general office duties, data entry, accounts payable assistance, document organization, and occasional administrative support at client offices. The ideal candidate does not necessarily need extensive accounting experience. We are looking for someone who is comfortable with computers, pays close attention to detail, can follow established processes, maintains confidentiality, and is willing to learn.
Primary Responsibilities:
Administrative Support- Perform general data entry and maintain accurate electronic and paper records. Scan, organize, file, and upload documents. Assist with routine office organization and administrative projects. Prepare basic spreadsheets, reports, correspondence, and other documents. Assist with gathering and organizing information requested by our bookkeeping and accounting staff. Communicate professionally with team members and client personnel. Perform other general administrative duties as assigned. Accounts Payable & Accounting Data Entry- Enter vendor bills, invoices, receipts, and other transactions into accounting software. Assist with accounts payable processing and maintaining vendor records. Match invoices and supporting documentation when required. Enter and categorize financial information according to established procedures. Assist with organizing receipts, statements, invoices, and other accounting records. Identify missing information or discrepancies and bring them to the attention of the appropriate team member. Perform routine accounting-related data entry under the direction of bookkeeping or accounting staff. Client On-Site Support- Occasionally travel to client offices to provide administrative and data-entry support. Assist client personnel with organizing paperwork and financial documentation. Enter information into client accounting or administrative systems as directed. Retrieve, scan, organize, or prepare documents needed by our accounting team. Represent our company professionally while working at a client's place of business. Follow all client confidentiality, security, and workplace procedures while on-site.
Qualifications Required:
Dependable, trustworthy, and able to maintain confidentiality. Strong attention to detail and accuracy. Basic computer skills and comfort learning new software. Ability to organize documents and information effectively. Ability to follow written and verbal instructions. Professional and courteous communication skills. Ability to work independently after receiving appropriate training. Reliable transportation and willingness to occasionally travel to local client offices.
Preferred but not required:
Previous administrative, office, bookkeeping, or accounts payable experience. Experience with QuickBooks or other accounting software. Familiarity with Microsoft Excel, Word, Outlook, and cloud-based applications. Previous experience entering invoices, bills, receipts, or other financial information. Because this position involves access to confidential client and financial information, integrity, discretion, and reliability are essential. We do require drug testing, background check, and generic competency testing as part of our new hire screening process. Training will be provided on our specific procedures and the software necessary to perform assigned responsibilities.
Pay:
$15.00 - $35.00 per hour Expected hours: 10.0 - 30.0 per week
