Position Overview Provide analytical, administrative, and project management support for engineering and commissioning projects. Coordinate cross-functional teams, oversee project financials, and maintain accurate documentation to ensure successful execution, operational efficiency, and financial performance. Key Responsibilities Project Management & Coordination Coordinate internal teams, suppliers, and project resources to support successful commissioning activities. Facilitate project review meetings to assess task status, delivery schedules, revenue forecasts, billing milestones, and outstanding actions. Collaborate with sourcing and engineering teams to ensure timely purchase orders and project deliverables. Maintain accurate project records, documentation, and electronic files. Identify execution challenges, recommend improvements, and escalate concerns as needed. Coordinate engineering and sourcing change orders. Financial Forecasting & Project Controls Forecast project reserves, accruals, completion costs, and budgets. Monitor earned value, track budget performance, report variances, and update financial projections. Forecast project completion percentages in accordance with ASC 606 revenue recognition requirements. Analyze historical project data to support business planning and financial projections. Review operational and financial reports, investigate discrepancies, and coordinate corrections with appropriate teams. Support cost-of-quality tracking and related project administration. Contract Administration & Billing Review purchase order terms and conditions, identify risks, and resolve or escalate concerns before order entry. Negotiate commissioning service invoice adjustments with clients and coordinate purchase order increases when necessary. Issue invoices upon fulfillment of contractual billing requirements. Coordinate with finance regarding tax documentation and billing discrepancies. Establish and maintain ERP project records, including tasks, budgets, agreements, and billing events. Review and approve project-related timesheets and expense reports in accordance with applicable policies. Maintain and archive supporting project and financial documentation. General Responsibilities Complete assigned tasks accurately and within established deadlines. Communicate project risks, delays, and concerns promptly. Provide informed recommendations to support management decisions. Collaborate effectively with internal teams and external stakeholders. Maintain professionalism, accountability, and a customer-focused approach. Comply with applicable policies, procedures, laws, and regulations. Recommend process improvements and utilize business tools effectively. Minimum Qualifications Bachelor's degree in a related field or equivalent combination of education and relevant work experience. Minimum of 3 years of related professional experience. Experience building effective relationships with clients, suppliers, and cross-functional teams. Strong organizational, administrative, interpersonal, and communication skills. Demonstrated initiative and ability to manage competing priorities. Experience identifying and implementing process improvements. Proficiency with ERP systems and Microsoft Word, Excel, Outlook, and PowerPoint. Preferred Qualifications Experience with Oracle ERP, Microsoft Project, Access, Adobe Acrobat, Visio, Auto
CAD, CRM
platforms, or HTML. Advanced Microsoft Excel proficiency. Familiarity with scientific terminology and engineering processes. Knowledge of contract terminology and contractual requirements. Experience applying international trade policies and procedures.
Pay:
$27.50 per hour Expected hours: 40.0 per week
