Job Description

Job Summary We are seeking a highly organized and professional Administrative Specialist to join our dynamic team. This role is essential in ensuring the smooth operation of daily office functions, providing exceptional support to staff and clients alike. The ideal candidate will demonstrate strong office management skills, proficiency with various computer applications, and excellent communication abilities. As an Administrative Specialist, you will be responsible for managing administrative tasks, maintaining confidential information, and fostering a welcoming environment at the front desk.
Essential duties and responsibilities:
  • Answering and directing incoming calls and visitors
  • Responsible for all incoming and outgoing mail
  • Coordinate plant services, including janitorial, maintenance contractors (e.g. HVAC etc.) and facility supplies
  • Organize business and employee events, luncheons, etc.
  • Maintain office files and paperwork as required
  • Assist accounting work, including time and attendance, accounts payable, accounts receivable, purchasing, expense reports, timekeeping, payment processing, accounting reporting, and payroll backup
  • Coordinate with staffing agencies to hire production employees
  • Train new employees, including orientation, company paperwork, recordkeeping in IQMS (internal ERP system), and editing and maintaining training materials
  • Provide new employees with work uniforms and maintain existing employees' uniforms as needed
  • Write, correct and edit procedures, work instructions, packaging instructions, safety notices, and other operations related documentation
  • Report any known day-to-day operations issues to management
  • Prepare monthly plant performance presentation and deliver in person or electronically, as necessary.
  • Work with personnel preparing packaging quotes to identify proper packaging materials and supplies, costs, lead times, etc.
  • Work with maintenance department and department supervisors to have all components necessary to maintain uninterrupted production.
  • Assist other departments and participate in meetings as necessary.

None Qualifications or skill requirements:
  • Able to use typical business computer applications, including (but not limited to) Microsoft Office Suite, internal ERP system, email, Internet, and other business facilitation applications
  • Strong organizational and planning skills
  • Strong mathematical ability to apply to financial tasks
  • Strong communication skills
  • Professional appearance and demeanor
  • Must be able to read and follow procedures and be aware of and comply with the company's quality and environmental policies Education and experience: High school diploma or equivalent.
University curriculum or work experience in accounting preferred. Familiarity with or experience in a manufacturing environment is a plus.

  • Able to sit, stand, and move around in an office environment
  • Able to safely move around in a manufacturing environment
Pay:
Up to $18.00 per hour
