This is a mid-level position providing backup and administrative support to the accounting team. The Accounting Administrator will be responsible for assisting with a variety of accounting and administrative functions that are critical to maintaining accurate and timely financial records and ensuring continuity of daily accounting operations. The ideal candidate will be able to step in and provide coverage for key accounting processes when needed while managing routine administrative responsibilities. Commercial construction accounting experience and knowledge of prevailing wage requirements are a strong plus. Job Brief The Accounting Administrator will provide internal support for accounts payable, document management, data entry, filing, and other accounting-related processes. This role is intended to provide backup coverage for critical-path accounting functions and help ensure that important tasks continue to be completed accurately and on schedule. The position will work primarily with the accounting team. The role involves reviewing and organizing information received from vendors or project personnel This is not an entry-level position. Prior accounting, accounts payable, construction accounting, or accounting administration experience is required. Responsibilities Provide backup support for key accounting and administrative functions Assist with maintaining the accounts payable processing system Receive, organize, review, code, and enter invoices into ProContractor or other accounting software Assist with processing overhead and project-related payables Track invoices and accounting items through established internal processes Scan, organize, and electronically file accounting and job-related documents Maintain vendor and job documentation as needed Verify and maintain required insurance certificates and other compliance documentation Provide backup coverage for time-sensitive and critical-path accounting tasks Help maintain organized and accurate electronic and physical files Perform general accounting and administrative duties as needed Follow established procedures and help ensure deadlines are consistently met Maintain confidentiality and accuracy when handling financial information Construction Accounting Experience - Preferred Experience in construction accounting is required and commercial accounting is a plus. Additional knowledge of prevailing wage and public works requirements is a plus. Familiarity with prevailing wage projects, certified payroll, labor classifications, fringe benefits, or related construction documentation will be considered an advantage. Requirements 2+ years of accounting, accounts payable, or accounting administration experience Construction accounting experience Knowledge of prevailing wage/public works requirements is a strong plus Experience with ProContractor or similar accounting software preferred Proficiency with Microsoft Excel and Word Strong attention to detail and accuracy Excellent organization and time-management skills Ability to multitask and prioritize competing deadlines Ability to work independently and follow established processes Dependable, flexible, and willing to provide backup support when needed Strong written and verbal communication skills Bachelor's degree in Accounting, Business, or a related field preferred, but not required for the right candidate Please respond with your full resume attached.
