The ideal candidate will have strong attention to detail, excellent communication skills, and the ability to multitask in a fast-paced office environment. This position plays an important role in maintaining efficient administrative operations while supporting the accounting team with day-to-day financial processes. Key Responsibilities Administrative Duties Greet and assist visitors and clients in a professional manner Answer and direct phone calls, emails, and other communications Schedule meetings and manage calendars for management staff Maintain filing systems and overall office organization Order office supplies and ensure the office remains well maintained Assist with organizing company meetings, events, and conferences Coordinate travel and transportation arrangements for staff Provide general administrative support as needed Accounting Support Assist with preparing and processing invoices, purchase orders, and payments Record and maintain financial transactions using accounting software (QuickBooks or similar) Support monthly and quarterly financial reporting processes Assist with payroll preparation and maintain employee records Reconcile bank accounts and manage petty cash when required Prepare and submit expense reports Data Entry & Document Management Input and update information in Microsoft Office applications and internal systems Maintain organized accounting and financial documentation Assist in preparing and distributing financial reports for management Customer Service & Communication Communicate with vendors, suppliers, tenants, and clients regarding invoices, payments, and orders Respond to billing and account-related inquiries Assist with resolving discrepancies related to accounting records Compliance & Audits Support compliance with company policies and financial procedures Assist with document preparation for internal and external audits Qualifications 4+ years of experience in an administrative or accounting support role preferred Basic knowledge of accounting principles and bookkeeping Experience with QuickBooks and Microsoft Office (Excel, Word, Outlook, PowerPoint, Adobe) Strong organizational and multitasking abilities Excellent written and verbal communication skills High attention to detail and accuracy Ability to work independently and as part of a team Bilingual (English/Spanish) required Additional Responsibilities Provide basic administrative support related to property management Assist with tenant requests, purchases, and related administrative tasks This job description is not intended to be a complete list of duties.
