Administrative Assistant - Tax Accounting

On-site SUMMARY:
Senior Administrative Assistant's workload includes a wide range of activities, with involvement in all phases of administration, personnel, facilities, and processes. Administrative Assistants will work closely with the Firm Administrator and Partners on process integration, day-to-day operations, and project organization/assembly/delivery.
ROLES AND RESPONSIBILITIES
Organize, maintain, develop, and assist with workflow to ensure projects are accurate and moving efficiently. Work with the Firm Administrator to consolidate procedures. Communicate with staff to ensure processes are being followed. Process outgoing mail, packages, and any other materials. Assembly of tax returns. Scan workpapers into tax software (CCH Axcess platform). Interface with clients coming into the office. Communicate with clients regarding workpapers and other information needed from tax staff. Utilize digital platforms to securely send/receive documents from clients. Organize digital and hard copies of client documents. Act as backup front desk administrative assistant. Maintain an orderly firm image for the firm's printed materials. General office assistance and facility management.
EDUCATION, EXPERIENCE, AND SKILLS
Bachelor's degree, preference in business and/or administration. Experience with maintaining and developing internal workflow of project lifecycle with respect to obtaining client information, administrative/tax processes, and project deliverables. Three (3) years of experience in an administrative role, preferably in a tax accounting setting. Experience in assembling and organizing tax returns. Use of CCH Axcess platform or close equivalent.
Interpersonal skills:
interacting with both staff and clients. Ability to remain organized with a large number of projects. Ability to learn new systems/processes and ensure they are implemented properly. The work schedule will be coordinated with the Firm Administrator and Partners. Standard business hours (9am-5pm). Extended hours are required during tax season (February 1-April 15 and August 1-October 15).
