Job Description

Every successful office relies on someone who can keep both the financial and administrative details organized, accurate, and moving forward. We are partnering with our client to identify an Accounting Administrative Assistant who will support accounting operations while providing general office and administrative support. This role is ideal for someone who enjoys working with numbers, managing multiple responsibilities, and contributing to the success of a collaborative team environment. Key Responsibilities Process accounts payable invoices and ensure timely and accurate entry into accounting systems. Prepare and distribute customer accounts receivable invoices. Maintain customer records, distribution lists, and related account information. Process credit reference requests and support customer credit application reviews. Assist with weekly ACH payments and check runs. Monitor customer payments and vendor disbursements, recording activity accurately in accounting records. Maintain daily transaction records and support bank activity monitoring. Create, update, and maintain spreadsheets used for accounting and operational reporting. Create and maintain fixed asset records and supporting documentation. Assist with periodic asset inventory activities. Answer incoming phone calls and respond to email inquiries professionally and promptly. Welcome visitors and ensure guest sign-in procedures are followed. Monitor office supply inventory and coordinate ordering as needed. Maintain electronic and physical filing systems. Assist with production and workflow support projects when required. Participate in special projects and team initiatives as assigned. Provide general administrative assistance to support departmental and organizational needs. Education High school diploma or equivalent required. Additional coursework in Accounting, Business, or related fields is beneficial. Experience Previous bookkeeping experience required. Prior office administration experience required. Experience using QuickBooks required. Experience supporting accounts payable and accounts receivable functions preferred. Skills and Knowledge Proficiency with QuickBooks. Strong Microsoft Excel and Microsoft Word skills. Excellent attention to detail and accuracy. Strong organizational and time management abilities. Effective verbal and written communication skills. Ability to manage multiple priorities and meet deadlines. Strong customer service and interpersonal skills. Ability to work independently while contributing to a team environment. Aptitude for working with numbers and financial information.
Pay:
$23.00 - $25.00 per hour
