Administrative & Accounting Assistant (Bookkeeping Career Growth Opportunity) Position Summary We are seeking a reliable, member-focused, and detail-oriented Administrative & Accounting Assistant to support the daily operations of our Management Office. This position combines bookkeeping, administrative support, and member service in a small residential cooperative community. The successful candidate will gain a thorough understanding of the Association's accounting processes, financial operations, governing procedures, and day-to-day community operations through direct training with the current Bookkeeper. This position is part of the Association's long-term succession planning and is intended to prepare the successful candidate to assume the Bookkeeper role upon the retirement of the current Bookkeeper. Career Growth Opportunity This position is part of the Association's long-term succession planning. The successful candidate will work directly with our current Bookkeeper and receive hands-on training in all aspects of the Association's accounting and financial operations. As the employee develops proficiency in the role, they will assume increasing accounting responsibilities while continuing to support the administrative functions of the Management Office. The individual selected for this position is being hired with the intention of succeeding the current Bookkeeper and transitioning into that role upon the Bookkeeper's retirement. This is a unique opportunity to receive direct mentorship, gain comprehensive knowledge of the Association's operations, and build a long-term career within the organization. Responsibilities Accounting & Bookkeeping (Primary Focus) Assist with accounts payable (AP), including invoice processing, vendor payments, and maintaining accurate records. Assist with accounts receivable (AR), including recording member payments, preparing deposits, and maintaining member account records. Perform data entry, statement reconciliations, and financial record maintenance. Learn monthly bank reconciliations, financial reporting, and month-end/year-end accounting procedures. Assist with payroll processing and payroll record maintenance. Assist with preparation for the annual audit and year-end financial activities. Shadow the current Bookkeeper in all accounting functions to ensure a seamless transition upon retirement. Maintain strict confidentiality of all financial, personnel, and member information. Administrative Support & Member Service Provide courteous and professional assistance to members, residents, contractors, vendors, and visitors. Answer and direct incoming telephone calls, emails, and office inquiries. Assist members with general account questions, directing to the proper person when necessary. Prepare correspondence, notices, reports, and other Association communications. Maintain member files, contracts, and Association records in both digital and paper formats. Assist with meeting preparation, mailings, filing, and other administrative projects. Develop a working knowledge of the Association governing documents, policies, procedures, and daily operations. Qualifications Required Strong attention to detail and accuracy. High school diploma or equivalent. Proficiency with Microsoft Office, particularly Excel, Outlook, and Word. Ability to maintain confidential financial and personnel information. Ability to learn new software and office systems quickly. Ability to prioritize multiple tasks in a fast-paced office environment. Dependable attendance and strong work ethic. Preferred Previous bookkeeping, accounting assistant, accounts payable, or accounts receivable experience. Experience working in property management, homeowners associations, condominium associations, cooperative housing communities, or small business offices. Experience handling cash receipts, payment processing, or bank deposits. Associate degree in Accounting, Business Administration, or related field.
