Job Description

Fiscal Assistant / Grant Coordinator We are seeking an organized, detail-oriented, and highly motivated Fiscal Assistant / Full-Charge Bookkeeper to manage our comprehensive financial operations and daily administrative workflows. The ideal candidate is a quick learner with a strong foundation in basic accounting principles and high proficiency in QuickBooks, Microsoft Word, and Microsoft Excel. In this role, you will handle full-cycle bookkeeping—including payroll processing, agency billing, and tax reporting—while working closely with the Director and learning to assist with local government grant applications.
Key Responsibilities Financial & Bookkeeping Operations General Ledger & Banking:
Maintain the general ledger, manage computer bank registers, reconcile bank statements, and make regular bank deposits.
Accounts Payable & Bills:
Review, verify, and process all agency bills and vendor payments accurately.
Client Billings & Contracts:
Manage end-to-end client billing processes and track active service contracts.
Audit Preparation:
Maintain neat, compliance-ready financial records and assist the external Auditor during yearly agency audits.
Payroll & Personnel Tracking Biweekly Payroll:
Process and complete comprehensive biweekly payroll for all agency employees.
Tax Reporting:
Prepare accurate agency financial reports, including quarterly and year-end payroll tax reports.
Leave Tracking:
Maintain internal tracking records for employee benefits, including accumulated sick days, personal days, and vacation days.
Administrative & Strategic Support Director Assistance:
Provide direct administrative support to the Director and execute specialized projects or other duties, as necessary.
Grant Administration:
Undergo comprehensive cross-training to assist in researching, writing, and preparing grant applications for local government programs.
Documentation:
Use Microsoft Word and Excel to build, edit, and organize financial models, spreadsheets, and official correspondence.
Qualifications & Skills Software Proficiency:
Proven hands-on experience with QuickBooks, Microsoft Excel (data sorting, basic formulas), and Microsoft Word (professional document formatting).
Core Accounting Expertise:
Solid mastery of general ledger maintenance, accounts payable/receivable, bank reconciliation, and fund/agency accounting tracking.
Payroll & Tax Knowledge:
Experience processing payroll and a clear understanding of quarterly and year-end tax reporting requirements.
Growth Mindset:
A quick learner with the analytical capacity to pick up local government grant processes and compliance rules through cross-training.
Discretion & Detail:
High level of integrity for handling sensitive payroll data, personnel records, and official agency contracts. Education and Experience Associate's or Bachelor's degree in Accounting, Finance, Business Administration preferred but not required. 2-4 years of experience in full-charge bookkeeping, fiscal administration, or agency accounting.
Pay:
$22.00 - $28.00 per hour Expected hours: 36.0 per week
