Accounting Assistant Job Description:
DirectNetworks, Inc. is seeking a motivated and enthusiastic individual to join our administrative team in the technology (IT) industry. The ideal candidate will be someone who is highly detail oriented and who communicates well both written and verbally with customers and fellow staff. This hybrid position will be responsible both on the administrative side for customer service, phone answering, and support service scheduling, procurement back-up etc., as well as for assisting the accounting department with accounts receivable, accounts payable, and invoicing, etc. This is a very fluid and exciting role requiring a person who is able to multitask and who embraces a fast-paced environment.
Responsibilities:
- Provide exceptional customer service to clients, opening and dispatching support tickets, and providing updates on the status of existing tickets
- Escalate service requests that cannot be scheduled within standard service level agreement parameters
- Act as primary telephone back up to the Office Ambassador, dispatching customer and vendor calls to the appropriate resource
- Work with our scheduling team in deployment of engineering resources to customer sites
- Assisting with or taking lead on the coordination of staff events
- Monitor the Accounting Service Board in the company ERP system, addressing and resolving customer or vendor requests in a professional and timely manner, engaging additional resources as needed
- Manage the accounts payable process, accurately entering vendor invoices into accounting software
- Manage the accounts receivable process, accurately applying payments to the appropriate invoice
- Run financial reports related to accounts payable and accounts receivable and help identify and investigate irregularities
- Monitor the Collections Service Board in the company ERP system and follow the collections process on all past due invoices, communicating promptly and regularly with customers and updating them of status changes and next steps
- Monitor the Administration Service Board in the company ERP system to ensure recurring scheduled items are correct and maintained
- Assist in preparing all contract, labor, and project invoicing, working with other departments to ensure billing is accurate
- Assist with establishing and maintaining customer agreements in the company ERP system that correspond to service or project contracts
- Assist with back-up of Procurement Department duties, such as processing and following up on quotes, processing orders, and receiving in of equipment
- Run reports for customer agreements or inventory for sales teams as requested
- Assist with and attend Accounting or other company meetings as required or requested
- Perform other accounting activities as required
Job Requirements:
- Punctual and able to arrive on time and ready to work at scheduled start time
- Ability to work and manage tasks independently
- Extremely high level of attention to detail
- Intermediate experience with Microsoft Office Suite, especially Excel
- Ability to adapt to fluid changes during work day
- Previous accounting experience is very helpful
- Excellent professional verbal and written communication skills
Preferred Skills and Qualifications:
- At least one year of QuickBooks Experience
- Some ERP systems experience
- Interest in computers and IT fields.
