Job Description
Apex Inspections, Inc. is seeking a dependable, organized Receptionist / Accounting Administrator to support the daily operations of our inspection and non-destructive testing (NDT) business. This role combines front-office administration, client and vendor communication, accounts payable and receivable support, records management, and coordination of operational documentation. The Receptionist / Accounting Administrator reports directly to the General Manager and plays an important role in ensuring that office, financial, and inspection-reporting activities are completed accurately and on time. Monday - Friday starting at 7:45am Compensation Compensation is based on experience and qualifications. Key Responsibilities Serve as the primary receptionist and administrative point of contact for clients, vendors, visitors, and employees. Develop and maintain professional client and vendor relationships. Complete accounts payable and accounts receivable responsibilities, including invoice processing, payment tracking, billing support, and related recordkeeping. Maintain organized company files, records, and administrative documentation. Verify, update, and maintain technical publications and controlled reference materials. Manage and maintain the company calendar, including scheduling support and organizational events. Confirm the timely submission of reports for completed NDT inspections. Complete customer-requested surveys and assist with client documentation requests. Manage general office supplies, including ordering, inventory monitoring, and coordination with suppliers. Coordinate courier services, shipping, deliveries, and document or package distribution. Perform general office and administrative duties as assigned. Prioritize workload effectively and delegate responsibilities when appropriate and authorized. Identify administrative, documentation, accounting, or operational concerns; escalate deviations or issues to management for resolution. Support a professional, organized, and service-oriented office environment. Qualifications High school diploma or equivalent required; associate degree, bookkeeping coursework, or administrative certification is preferred. Prior experience in a receptionist, office administrator, accounting assistant, accounts payable, accounts receivable, or similar administrative role. Experience with accounts payable and accounts receivable processes. Strong organizational skills and attention to detail. Professional written and verbal communication skills. Ability to maintain confidentiality when handling financial, personnel, client, and company information. Proficiency with Microsoft Office applications, including Outlook, Word, and Excel. Ability to manage calendars, schedules, filing systems, office supplies, and multiple priorities. Comfortable communicating with customers, vendors, field personnel, and management. Experience in an inspection, construction, industrial services, engineering, manufacturing, or NDT environment is preferred but not required. Skills and Attributes Dependable, punctual, and customer-service focused. Detail-oriented with strong follow-through. Able to work independently while communicating effectively with management and team members. Comfortable handling time-sensitive report tracking, client requests, and financial administrative tasks. Capable of recognizing potential issues and bringing them to management promptly. Maintains a professional demeanor in a busy office environment. Reporting Relationship This position reports to the General Manager. The Receptionist / Accounting Administrator has the authority to direct the day-to-day completion of assigned responsibilities and is expected to escalate concerns, deviations, or issues requiring management resolution.
