Job Description
Company Overview We are a well-established real estate management company overseeing a diverse portfolio of residential and commercial properties throughout New York City. Our team is committed to providing exceptional service to property owners, residents, and vendors. We are seeking a dependable, detail-oriented professional to join our accounting department in a part-time role that combines accounts payable responsibilities with administrative and project coordination support. Position Summary This position is ideal for someone who enjoys working in a fast-paced office environment, is highly organized, and can effectively manage multiple priorities. The successful candidate will play an important role in supporting our accounting operations while assisting with various administrative and special projects. Primary Responsibilities Process vendor invoices and maintain accurate accounts payable records. Coordinate vendor onboarding, including collection and maintenance of W-9 forms, certificates of insurance, and other required documentation. Review invoice coding, verify approvals, and enter invoices into our platform and obtain appropriate payment authorizations. Monitor weekly cash requirements and assist with payment scheduling. Record and reconcile electronic payments, ACH transactions, wire transfers, and check payments within the accounting system. Oversee utility account administration for a portfolio of properties, including water, electric, gas, oil, telephone, and other service providers. Maintain organized electronic accounting records and ensure supporting documentation is properly scanned and archived. Perform monthly bank account and security deposit reconciliations. Assist with year-end audit preparation and accounting support. Prepare reports, correspondence, spreadsheets, and other business documents. Coordinate administrative projects and provide operational support to the management team. Research discrepancies, resolve accounting issues, and follow through on outstanding items. Participate in additional accounting or administrative projects as assigned. Qualifications Bachelor's degree in Accounting, Finance, or a related field. Minimum of two years of accounting experience. Real estate accounting experience is preferred but not required. Strong organizational and time management skills with the ability to prioritize multiple assignments. Excellent attention to detail and commitment to accuracy. Proficiency with Microsoft Excel and Microsoft Word. Strong written and verbal communication skills. Ability to work independently while collaborating effectively with a small office team.
