Job Description

EAGLE Certification Group is seeking a highly organized and detail-oriented Certification Support Specialist to join our Client Services team. In this role, you'll help keep the certification process organized, accurate, and on schedule by maintaining client and audit records, preparing documentation, tracking deadlines, and coordinating with clients, auditors, and internal teams. This is an excellent opportunity for someone who enjoys organization, problem-solving, customer service, and working with detailed information. Prior certification or food safety experience is not required -we'll provide the training you need to learn our processes, systems, and certification requirements. What You'll Do Maintain accurate and up-to-date client, audit, and certification records within EAGLE's management system. Prepare and distribute audit paperwork, reports, templates, and other certification documentation. Track certification activities, documentation requirements, assignments, and deadlines to help keep projects on schedule. Review records for completeness and accuracy, identify missing or inconsistent information, and coordinate appropriate follow-up. Communicate with clients, auditors, and internal team members to obtain required information and resolve administrative questions. Support clients throughout the certification lifecycle by coordinating documentation, activities, and administrative requirements. Assist with the administrative management of auditor expenses and information needed to support accurate customer invoicing. Maintain auditor qualification, training, and competency records. Respond to client and auditor inquiries promptly, professionally, and accurately, involving the appropriate EAGLE team member when additional expertise is needed. Follow established procedures and quality requirements while developing knowledge of applicable ISO, food safety, regulatory, accreditation, and certification requirements. Identify opportunities to improve administrative processes, documentation, and customer service. What You'll Bring We're looking for someone who is dependable, organized, responsive, and comfortable managing details. You will be successful in this role if you: Have strong administrative and organizational skills with exceptional attention to detail. Can manage multiple priorities, assignments, and deadlines in a fast-paced, process-driven environment. Are comfortable entering, reviewing, maintaining, and retrieving information in databases or other management systems. Naturally notice missing, inconsistent, or inaccurate information and take initiative to resolve it. Communicate clearly, professionally, and concisely with customers, auditors, and coworkers. Have strong written and verbal communication skills. Are proficient with Microsoft Office and comfortable learning new software and systems. Can work independently while contributing effectively to a collaborative team. Take ownership of follow-up and understand the importance of meeting deadlines. Handle confidential and business-sensitive information with professionalism and discretion. Are committed to accuracy, quality, continuous improvement, and exceptional customer service. Are eager to learn new regulatory, accreditation, certification, and compliance requirements. Preferred Experience The following experience is helpful but not required : Experience with ISO standards or certification programs. Food safety industry or certification experience. Familiarity with
SQF, FSSC
22000, or similar food safety programs. Experience working with audit, certification, compliance, or quality management systems. Basic understanding of business accounting, expenses, or customer invoicing. Don't have certification-industry experience? That's okay. Strong administrative, customer service, project coordination, documentation, or database experience can provide an excellent foundation for this position. EAGLE will provide training on our certification processes and requirements. What a Typical Day Looks Like You'll spend much of your day balancing several types of work: reviewing and entering information, preparing certification documentation, responding to emails and questions, coordinating with auditors and clients, and tracking deadlines and outstanding requirements. The work requires both precision and responsiveness . You may be focused on a detailed record one moment and then need to shift priorities to respond to a client or auditor.
