About Us We are a growing nationwide locomotive service and repair company seeking a dependable and detail-oriented Bookkeeper/Administrative Assistant to support our day-to-day accounting and administrative needs. The successful candidate will handle bookkeeping duties, file sales tax reports across multiple states, assist with payroll and invoicing, maintain records and provide administrative support to management and field personnel. Responsibilities Manage accounts receivable and accounts payable. Process invoices, purchase orders and vendor payments. Reconcile bank and credit card statements. Process and maintain payroll records. File and track multi-state sales tax reports. Maintain organized financial records and documentation. Assist with month-end and year-end reporting. Work directly with outside CPA firm for tax preparation and financial reporting. Answer phones, emails and customer inquiries. Support scheduling, work orders and documentation. Assist with new hire onboarding. Maintain employee training and documentation to ensure customer requirements and DOT regulations are met. Build and maintain positive working relationships with customers, vendors and service providers. Ensure confidentiality of company and employee information. Qualifications 3+ years bookkeeping and administrative experience Strong understanding of accounts payable/receivable, payroll processing, bank reconciliations, sales tax reporting Experience with: QuickBooks Online, Gusto, Microsoft Excel Strong organizational and communication skills. Ability to work independently and meet deadlines. This role is an important part of helping our company operate efficiently and continue to grow nationwide.
