Job Description

Job Summary We are seeking a dynamic and detail-oriented Accounts Payable Specialist to join our finance team. In this role, you will be responsible for supports the organization's financial operations by processing invoices, paying vendors, maintaining petty cash records, reconciling bank accounts, and assisting with additional accounting and administrative duties as assigned. This position reports directly to the Chief Financial Officer. Duties Process and verify all accounts payable transactions, including invoice entry, coding, and approval workflows. Ensure invoices are coded correctly and approved according to company policies and procedures. Prepare and process checks, ACH payments, wire transfers, and other vendor payments. Maintain positive relationships with vendors and respond to payment inquiries in a professional and timely manner. Reconcile vendor statements and resolve discrepancies. Maintain accurate accounts payable records and filing systems. Manage and reconcile petty cash transactions and maintain appropriate documentation. Perform monthly bank account reconciliations and assist with resolving outstanding items. Assist with credit card reconciliations and expense reporting. Monitor payment schedules to ensure timely payment of obligations and avoid late fees. Support month-end and year-end closing processes. Assist with audits by providing requested documentation and reports. Maintain confidentiality of financial and employee information. Prepare financial and administrative reports as requested. Skills Strong knowledge of accounting software Proficiency in data entry with a high degree of accuracy. Solid understanding of financial concepts including debits & credits, double-entry bookkeeping, general ledger accounting, and account reconciliation. Excellent analysis skills for identifying discrepancies and resolving issues efficiently. Knowledge of tax regulations related to accounts payable processes is preferred. Ability to handle multiple tasks simultaneously while maintaining attention to detail in a fast-paced environment. Qualifications High school diploma or GED required; Associate degree in Accounting, Finance, or related field preferred. Minimum of 2 years of accounts payable or general accounting experience preferred. Knowledge of basic accounting principles and accounts payable processes. Experience with accounting software and Microsoft Office Suite, particularly Excel. Strong attention to detail and organizational skills. Ability to prioritize tasks and meet deadlines. Strong communication and customer service skills. Ability to maintain confidentiality and handle sensitive information professionally.
Pay:
$45,000.00 - $65,000.00 per year
