Job Description
Overview We are looking for a skilled Purchasing Agent with construction industry experience to buy the goods and services necessary for our steel erection business, while also managing accounts receivable, AIA billing, and change orders across our active projects. You have the means and opportunity to increase our profits by making high-quality, cost-effective purchases—and by keeping our billing accurate, timely, and airtight. The ideal candidate has a keen eye for detail and a commercial mindset. You should know how to evaluate market conditions and different suppliers, and be equally comfortable preparing an AIA pay application or tracking a change order through to approval. Strong communication skills are a must — you'll negotiate with suppliers and coordinate billing directly with customer project accountants. The goal is to acquire the supplies critical to our business operations while keeping every project's billing, retainage, and change order status accurate and current. Responsibilities Purchasing Develop profitable purchasing strategies Assess supplier profiles and analyze offers Prepare and implement effective negotiation tactics Manage relationships with key suppliers to maintain quality of goods, timely delivery, and compliance with contract terms Review supplies to ensure quality Monitor stock/inventory levels Prepare and submit detailed reports (Purchase Order Commitments, buying expenditures, etc.) Keep updated purchasing records Accounts Receivable & Billing Prepare and submit monthly progress billings using AIA documents (G702 Application and Certificate for Payment) Track contract values, billed-to-date amounts, retainage, and remaining balances for each active project Monitor and manage the accounts receivable aging report; follow up on past-due invoices and payment status with clients and general contractors Process incoming payments and apply them accurately to the correct project and invoice Communicate directly with customers' project accountants to resolve billing discrepancies and expedite payment Maintain lien waiver documentation (conditional and unconditional) in coordination with each billing cycle Change Order Management Prepare, log, and track all change orders throughout their lifecycle — from initial pricing and submission through the ERP Update AIA billing documents (G702/G703) to reflect approved change orders and revised contract values Maintain an organized change order log for each project within ERP, with accurate status tracking (pending, approved, rejected, billed) Coordinate with project managers and estimators to ensure change order pricing is accurate and properly documented before submission Reconcile change orders against billings and contract totals each month Requirements Experience Minimum of 3 years of experience as a Purchasing Agent or in a similar role, ideally in the construction or steel erection industry Proven experience negotiating prices, terms, and conditions with suppliers Hands-on experience preparing AIA billing documents (G702/G703) and managing progress billing cycles Familiarity with construction change order processes and documentation Knowledge of market research, data analysis, and purchasing best practices Working knowledge of MS Office, purchasing software, and Foundation Software preferred Excellent communication and interpersonal skills Strong research, analytical, organizational, and documentation skills High school diploma or GED Schedule 8-hour shift Monday to
