Open until filled Position Summary The Part-Time Bookkeeper is the financial backbone of day-to-day operations at GCG. Working in-office at our Phoenix location 10 to 15 hours per week, this person owns the books end to end — recording transactions, reconciling accounts, tracking job costs, processing payroll and AP/AR, and preparing the clean, accurate financial reports leadership relies on to make decisions. You will partner directly with the Operations Director and the Founder, and serve as the trusted point of contact for our CPA at tax time. This is a hands-on, in-office role. We are not looking for someone who simply enters data — we are looking for a financial professional who understands construction accounting, anticipates issues before they become problems, and protects the integrity of our books the same way we protect the integrity of our builds. Key ResponsibilitiesGeneral Bookkeeping & Financial Records Record all financial transactions accurately in QuickBooks Interprise and Buildertrend on a daily and weekly basis. Maintain the general ledger and ensure all entries are properly classified and coded to the correct job, account, and class. Reconcile bank accounts, credit cards, and loan/line-of-credit accounts on a monthly basis. Maintain a clean, audit-ready chart of accounts and recommend updates as the business grows. Prepare month-end close, including journal entries, accruals, and supporting schedules. Accounts Payable (AP) Receive, code, and enter vendor invoices, subcontractor bills, and supplier statements. Track and collect required compliance documents (W-9s, certificates of insurance, lien waivers) before payments are released. Prepare weekly check runs, ACH payments, and credit card payments for owner approval. Resolve vendor and subcontractor billing discrepancies promptly and professionally. Accounts Receivable (AR) & Project Billing Generate and send client invoices and progress billings in coordination with project managers and construction coordinator. Track receivables, apply payments, and follow up on past-due balances with a professional, relationship-first tone. Support AIA-style progress billing, schedule of values, and retention tracking where applicable. Maintain accurate customer records and deposit logs. Job Costing & Project Accounting Allocate labor, materials, subcontractor costs, and overhead to the correct jobs and cost codes. Produce weekly and monthly job cost reports, including estimate-vs-actual and work-in-progress summaries. Flag budget overruns, missing change orders, or coding errors to the Operations Director. Assist leadership in monitoring project profitability. Payroll & Compliance Process bi-weekly (or weekly) payroll through our payroll provider, including hours review, PTO, reimbursements, and deductions. Maintain accurate employee records and assist with onboarding paperwork (I-9, W-4, direct deposit). Support certified payroll reporting when required on prevailing-wage or public-works projects. Track 1099 contractors and prepare year-end 1099 filings. Assist with sales/use tax (TPT) filings, workers' comp audits, and general liability audits. Reporting & Leadership Support Produce monthly financial reports: P&L, balance sheet, cash flow, AR aging, AP aging, and job cost summaries. Prepare ad-hoc reports requested by the Founder and Operations Director. Serve as the primary point of contact for our outside CPA at tax time, providing clean books and supporting schedules. Maintain organized digital and physical filing systems for all financial documents. Required Qualifications Minimum 5 years of full-charge bookkeeping experience. Advanced proficiency in QuickBooks (Online). Strong working knowledge of accounts payable, accounts receivable, bank reconciliation, payroll, and month-end close. Solid Excel skills (pivot tables, basic formulas, clean spreadsheet hygiene). Excellent attention to detail and a track record of accurate, audit-ready books. Strong written and verbal communication skills; professional, discreet, and trustworthy with confidential information. Reliable, self-directed, and able to manage priorities with limited supervision. Authorized to work in the United States. Direct bookkeeping experience in the construction industry (general contracting, subcontracting, roofing, or trades). Familiarity with job costing, AIA progress billing, schedule of values, retention, and lien waiver tracking. Experience with certified payroll and Arizona TPT (transaction privilege tax) filings. Working knowledge of subcontractor compliance (W-9, COI, 1099 tracking). Bilingual English/Spanish is a plus. Associate's degree or higher in Accounting, Finance, or related field, or equivalent professional experience.Compensation & What We Offer Hourly Rate:
$30.00 - $38.00 per hour, depending on experience and construction-industry background. Rate reflects the Phoenix-area market for experienced part-time bookkeepers with construction expertise (BLS Phoenix-Mesa-Chandler MSA data for Bookkeeping, Accounting, and Auditing Clerks). Consistent, predictable part-time schedule (10-15 hrs/week) that fits well around school, caregiving, or a second client. In-office work environment with a tight-knit, respectful team. Schedule & Location This is an in-office, part-time role based at GCG's Phoenix office. Hours are flexible within standard business hours (Monday - Friday, 8:00 AM - 5:00 PM) and will be set on a consistent weekly schedule mutually agreed upon at hire.
