Job Description

Accounting & Payroll Specialist The Accounting & Payroll Manager is responsible for overseeing all financial and accounting functions for five entities associated with farming operations, as well as one remote self-storage business. This position will maintain accurate and complete financial records, manage day-to-day accounting activities, ensure compliance with GAAP and applicable regulatory requirements, and provide timely financial reporting to ownership. The Accounting & Payroll Manager will prepare monthly financial statements and budgets, assist with annual year-end tax planning, oversee payroll and payroll tax requirements, and manage various government reporting obligations. This position also provides general administrative support to the business enterprise, including banking, purchasing, and maintaining office equipment. Key Responsibilities Accounting & Financial Management Manage all accounting functions for multiple farming-related entities and a remote self-storage business. Maintain accurate, complete, and organized financial records. Prepare and distribute monthly financial statements and financial reports. Prepare and monitor annual budgets. Reconcile bank and financial accounts. Monitor accounts payable and accounts receivable. Ensure financial records and reporting comply with GAAP and applicable regulations. Assist with annual year-end tax preparation and tax planning. Work with ownership, tax professionals, and other outside advisors as needed. Identify and resolve accounting discrepancies and maintain financial accuracy and transparency. Utilize QuickBooks accounting software for day-to-day accounting and financial reporting. Payroll Administration Process one bi-weekly payroll and one monthly payroll. Calculate and process payroll accurately and timely. Remit federal and state payroll taxes. Process and remit federal and state wage garnishments. Maintain payroll records and ensure compliance with applicable payroll regulations. Coordinate employee benefit administration and reporting, including: IRA

  • Diesel Excise Tax (Annual) OSHA Form 300
  • Annual California Department of Tax and Fee Administration (CDTFA) Sales Tax Reporting and Remittance
  • Monthly Forms 1099/1096
  • Annual Federal Form 943
  • Annual Forms W-2/W-3
  • Annual California Forms DE 9 and DE 9C
  • Quarterly Other government and regulatory filings as required Administrative & Business Support Manage banking activities and banking relationships.
Assist with procurement and supply purchasing. Maintain and organize financial and business records. Maintain certain office equipment and coordinate service or repairs as needed. Assist with other administrative duties associated with the business enterprise. Maintain confidentiality of sensitive financial, payroll, and employee information. Qualifications Prior accounting or bookkeeping experience, preferably in an agricultural, transportation, construction, or other multi-entity business environment. Strong experience with QuickBooks accounting software is required. Experience managing payroll and payroll tax reporting. Knowledge of GAAP and general accounting principles. Experience with federal and California payroll, sales tax, and regulatory reporting. Strong attention to detail and a high degree of accuracy. Excellent organizational and time-management skills. Ability to manage multiple entities, deadlines, and competing priorities. Strong problem-solving and analytical skills. Ability to work independently and take ownership of responsibilities. High level of discretion and confidentiality when handling financial and employee information. Position Requirements This position requires an individual who is highly organized, detail-oriented, dependable, and comfortable managing a broad range of accounting, payroll, regulatory, and administrative responsibilities.
