This vital role combines essential bookkeeping responsibilities with administrative support to ensure smooth daily operations. The ideal candidate is highly organized, trustworthy, professional, and comfortable handling confidential information. This position is well-suited for someone who enjoys a variety of responsibilities and can effectively manage multiple tasks in a fast-paced law office environment., Responsibilities Manage and maintain accurate financial records using QuickBooks accounting software, including invoicing, expense tracking, and bank reconciliations Monitor accounts payable and accounts receivable Coordinate with the firm's accountant when necessary Handle multi-line phone systems with professionalism, providing exceptional customer service and support to clients and team members Assist with day-to-day administrative and office tasks Organize and maintain electronic and physical files Assist with front desk duties including greeting visitors, answering phones, and directing inquiries with courteous phone etiquette Handle confidential and sensitive information with discretion Assist the attorney and staff with various projects and administrative tasks Provide general administrative support such as word processing, preparing reports, and handling correspondence in multiple languages (bilingual preferred) Requirements Previous experience in bookkeeping, accounting, office administration, or a similar role Experience with QuickBooks or similar accounting/bookkeeping software Demonstrated proficiency in Microsoft Office Suite including Word, Excel (spreadsheets), and other productivity software Excellent organizational skills with the ability to prioritize tasks efficiently in a busy environment Excellent attention to detail and accuracy Ability to maintain confidentiality and exercise good judgment Effective communication skills both over the phone and in person; Ability to manage multiple responsibilities simultaneously while maintaining high productivity levels Bilingual abilities are highly desirable to assist diverse client needs and enhance communication within the team
