Job Description

About the Role We are seeking a dependable and detail-oriented Bookkeeper / Administrative & HR Assistant to support our Office Manager and contribute to the day-to-day operations of our construction and restoration companies. This role requires strong organizational skills, accuracy in financial recordkeeping, and the ability to handle administrative, insurance-related, and employee support tasks in a fast-paced environment. The ideal candidate is proactive, takes direction well, and can effectively manage multiple priorities while maintaining a high level of professionalism. This is a key support position that helps ensure smooth internal operations, accurate financial tracking, and consistent administrative processes across both companies. Key Responsibilities Assist with bookkeeping in QuickBooks (invoicing, expenses, reconciliations) Support payroll processing, A/P, A/R, and job costing Communicate with insurance adjusters regarding claims, documentation, and billing Assist and guide clients through the insurance claims process Support company billing, collections, and follow-up on outstanding invoices Handle incoming calls, scheduling, and general office support Maintain organized digital and physical files, documents, and project records Assist with employee onboarding, records, and HR-related tasks Track employee hours, PTO/sick time, and maintain internal documentation Requirements Experience with QuickBooks or bookkeeping Strong organizational skills and attention to detail Professional communication skills (phone, email, client-facing) Ability to handle client interactions and insurance-related communication Reliable, proactive, and able to follow direction Basic payroll or HR experience preferred Bilingual (English/Spanish) is a plus Experience in construction, restoration, or insurance claims is highly preferred What We Offer Stable, growing companies Opportunity for advancement within the team Competitive pay based on experience Fast-paced, team-oriented work environment
