Job Description
Overview Seeking an addition to the Finance team at a small, successful, 45-year-old company in the book publishing industry, which does business both domestically and internationally. Candidate will work with other finance department team members (one of them being the Controller, to whom the candidate will report), and will follow established protocol in the company's accounting department. Must be detail-oriented, work efficiently, meet tight deadlines, have a can-do attitude, and be willing to learn and follow company methods of business. Extensive knowledge of QuickBooks Online is essential. Candidate must be comfortable in working with numbers, be able to compute complex payment structures quickly, and be able to handle a variety of assignments, such as preparing specific accounting spreadsheets, updating monthly and yearly reports, preparing and monitoring wire transfers and ACH to clients, handle payroll, and more. Proficiency in Excel, Outlook, and Word are also important, and experience with Airtable is a major plus. Must have a customer service-oriented mindset, be a good communicator, and understand how to handle sensitive communications with VIP clients. We are a small team, so being proactive, cooperative, reliable, trustworthy, and flexible is vital. This is an in-person job (no remote option), located in Del Mar, CA. While we currently seek to fill a full-time roll. Responsibilities may include, but are not limited to: Monthly reconciliations of two bank accounts Updating extensive forthcoming publishers' payments for current year and years (money due list) Forecasting projections of income and expenses twice annually and report to President. Daily posting of deposits on Quickbooks online Servicing sales team with their financial requests End of the year reports to President Report to Accountant financial statements and end of the year financials Monthly payroll and all communications with payroll company Handling of all IRS and Franchise Tax Board notices. Handling work compensation Insurance and Liability Insurance Issuing payments to authors with copies of their statements Federal filing reporting of 1099 / 1042 Answering various finance questions from clients, with knowledge, professionalism, and tact Filing various business forms •
