Position of Summary:
The Radiation Bookkeeper is responsible for managing patient communications and scheduling related to radiation treatments. This role ensures all eligible skin cancer patients are offered appropriate treatment options, assists in coordinating follow-up care, communicates with the billing team for insurance verifications, and audits treatment progress to ensure continuity of care.

WHAT YOU'LL DO
Pathology Report Management Review and process pathology reports received from 46 referring offices, with continued growth expected. Monitor daily pathology volume ranging from 150 to 800 reports per day. Verify report accuracy and ensure proper workflow assignment. Attach provider-reviewed and signed pathology reports to patient charts. Track and maintain report completion metrics and daily physician reporting. Patient Identification & Workflow Processing Review pathology reports to identify eligible skin cancer patients for radiation treatment. Verify and enter insurance information for all identified treatment sites. Assign patients to appropriate physician workflows (Dr. G and Dr. A). Move patients through designated radiation treatment workflows and update statuses accordingly. Maintain accurate documentation regarding patient treatment decisions, referrals, and outcomes. Patient Outreach & Follow-Up Conduct outbound patient calls for consultation scheduling, treatment discussions, and follow-up care. Manage daily outbound call volumes ranging from 10 to 100+ calls per day. Perform ongoing follow-up for patients who are difficult to reach, requiring multiple contact attempts each week. Document all patient communications and scheduling outcomes. Incoming Communication Management Manage high-volume inbound patient calls regarding radiation treatment, appointments, authorizations, and treatment questions. Respond to patient voicemails, emails, Klara messages, and provider inquiries. Coordinate incoming transfer requests from the centralized call center. Provide timely responses to patient concerns while maintaining daily workflow productivity. Interdepartmental Coordination Collaborate with the Biopsy Bookkeeping Department regarding pathology results, treatment recommendations, and patient call-backs. Coordinate with the Authorization Department on denied services, referral status updates, and treatment approvals. Communicate with providers, office staff, and leadership regarding patient care progression. Office Support & Communication Support 29 clinic locations currently operating SRT equipment. Respond to Teams chats and email requests regarding: Scheduling questions Authorization updates Treatment coordination Scheduling conflicts Equipment-related issues Patient status updates Provide ongoing support to clinical and operational teams across multiple locations. Klara & Electronic Messaging Management Manage and respond to daily Klara patient communications, averaging 15-50+ messages per day. Address patient questions, appointment requests, scheduling changes, and treatment-related inquiries. Maintain documentation of all patient communications. Workflow Maintenance Monitor and maintain active physician workflows including: Dr. G Workflow, Dr. A Workflow Verify treatment completion status and update workflows accordingly. Move completed cases to appropriate workflow outcomes. Track patients requiring additional treatment sites, authorization verification, or follow-up scheduling. Task Queue Management Review, prioritize, and complete active task queues related to: Scheduling requests Authorization denials Treatment changes Surgical referrals Rescheduled patients Returned referrals Maintain task inventories ranging from 25-100 patients at any given time. Ensure timely resolution and proper routing of patient cases. Radiation Scheduling & Treatment Coordination Coordinate and maintain large active treatment populations, including:

Workflow Schedule patient consultations and treatments. Verify authorizations and coordinate treatment start dates. Communicate treatment plans and appointment information to patients and providers.
WHAT WE'RE LOOKING FOR
Education/Experience:
High school diploma or equivalent Additional coursework or training in healthcare administration, medical office procedures, or medical billing is beneficial Dermatology or healthcare experience highly preferred
Required Skills/Qualifications:
Excellent communication skills for discussing treatment options and coordinating patient care. Strong customer service skills and ability to interact professionally with patients. Attention to detail for auditing treatment schedules, maintaining trackers, and ensuring continuity of care. Organizational skills to manage multiple patient workflows and appointments. Electronic Medical Records (EMR/EHR) proficiency, preferably experience with EMA (Electronic Medical Assistant) software. Ability to collaborate with clinical staff, billing teams, and administrative personnel. Confidentiality and professionalism when handling sensitive patient information. Medical scheduling and patient coordination experience. Knowledge of insurance verification and prior authorizations (HMO, PPO, VA, Medi-Cal, Workers' Compensation) is highly valuable. Basic computer and medical records management skills.
