Job Description

Salary Range:
$55,000 - $58,000 annually - equivalent to $28.21 to $29.74 based on a 37.5 hours weekly schedule

Controller Assistant Join El Nido Family Centers This is an excellent opportunity for an accounting and payroll professional who values accuracy, confidentiality, collaboration, and service. The Payroll & Accounting Specialist plays an important role in supporting accurate payroll administration and effective financial operations while contributing to the mission and work of El Nido Family Centers. Position Summary El Nido Family Centers is seeking a detail-oriented and dependable Payroll & Accounting Specialist to join our team. Under the direction of the Assistant Controller and Controller, this position is responsible for preparing semi-monthly payroll, maintaining and reviewing employee timesheets, and ensuring the accuracy of payroll-related information. The Payroll & Accounting Specialist also provides administrative and accounting support in areas including Accounts Payable, financial reporting, grant invoicing, audit preparation, and related accounting functions. Essential Duties and Responsibilities Payroll Process semi-monthly payroll for hourly and salaried employees using ADP Workforce Now. Review and verify employee timesheets and work hours and calculate wages, overtime, bonuses, and other payroll-related changes for accuracy before payroll submission. Manage payroll deductions, benefits, garnishments, bonuses, commissions, and other payroll adjustments. Conduct routine audits of payroll transactions and employee records to help ensure accuracy. Prepare and reconcile semi-monthly payroll labor distribution and month-end general ledger information. Support year-end payroll reporting, including W-2s and other required forms. Help ensure payroll practices comply with applicable federal, state, and local wage and hour requirements. Identify payroll processing issues and recommend opportunities for process improvement. Accounting Assist with Accounts Payable, journal entries, and financial reports. Assist with reviewing and reconciling invoices through Bill.com. Support the Accounts Payable department with year-end reporting, including preparation of 1099 tax forms. Assist with the preparation of internal and external annual financial audits. Assist with tracking program expenditures and grant reporting allocations. Prepare and submit grant invoices with required supporting documentation. Perform other accounting duties as assigned. Secondary Duties Perform other accounting, payroll, and administrative duties as assigned on organizational and department needs Dropping off mail when necessary Employee Support & Recordkeeping Maintain strict confidentiality regarding employee compensation and sensitive financial information. Respond professionally and promptly to employee inquiries regarding paychecks, deductions, and tax documents. Maintain organized digital and physical records consistent with nonprofit record-retention and audit requirements. Qualifications The successful candidate should possess: Associate or bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred. Two to three years of combined experience in payroll administration and general accounting. Prior experience working in a nonprofit or social services environment is highly preferred. Experience using ADP Workforce Now (WFN) for payroll processing. Experience with accounting software, such as Financial Edge. Proficiency in Microsoft Excel, including sorting, filtering, formulas, and reconciliations. Strong attention to detail and a high level of accuracy. Demonstrated ability to perform accurate data entry, verify calculations, and research discrepancies. Effective written and verbal communication skills. Ability to manage multiple priorities and meet deadlines in a fast-paced environment. Valid driver's license and access to an insured automobile.
