Job Description

Job Overview We are seeking a dedicated and detail-oriented Bookkeeper/Administrative Assistant to join our dynamic team. This role combines essential bookkeeping responsibilities with administrative support functions, ensuring smooth office operations and accurate financial record-keeping. The ideal candidate will be proactive, highly organized, and possess excellent communication skills to support both internal teams and external clients. This position offers an opportunity to contribute significantly to our operational efficiency and financial accuracy. Duties Manage day-to-day bookkeeping tasks using accounting software such as QuickBooks, including data entry, invoicing, and expense tracking. Strong working knowledge of QuickBooks is required. At least 2 years of experience in a Bookkeeper, Staff Accountant, or similar accounting position. Oversee full accounts payables, entering vendor invoices, paying invoices, and tracking expenses by job for all projects Handle customer billing and deposits, reconcile all payables and receivables Maintain accurate financial records by reconciling accounts, processing payments, and managing accounts receivable and payable. Support compliance efforts related to subcontractor workers' compensation documentation by verifying insurance records, coordinating with purchasing and leadership, and helping enforce payment holds when coverage requirements are not met Record incoming payments and deposits accurately in accounting software while monitoring outstanding balances and following up on overdue accounts. Oversee office duties such as filing, organizing documents, and maintaining office supplies. Assist when needed front desk responsibilities including greeting visitors, answering multi-line phone systems, and directing calls professionally. Support client communication through phone, email, and in-person interactions; provide excellent customer service. Assist with calendar management, scheduling appointments, and coordinating meetings for owner. Prepare reports using productivity software like Microsoft Office (Word, Excel) and create spreadsheets for data analysis. Perform clerical tasks such as data entry, document processing, and maintaining organized filing systems. Provide administrative support including copying, scanning, and managing correspondence efficiently. Support personal assistant duties when needed to help with time management and task prioritization direct to owner. Requirements Proven experience in office management or administrative roles with a focus on bookkeeping or accounting functions. Proficiency in QuickBooks accounting software and Microsoft Office Suite (Word, Excel). Strong computer literacy with excellent typing speed and data entry skills. Bilingual abilities are highly desirable to facilitate communication with diverse clients. Demonstrated organizational skills with the ability to multitask effectively in a fast-paced environment. Excellent phone etiquette and customer service skills for front desk and client interactions. Experience with filing systems, calendar management, and general clerical tasks. Technical proficiency in productivity software and familiarity with spreadsheets is essential. Previous experience supporting personal or executive assistants is a plus. Strong attention to detail combined with effective time management skills. Pay:
