Job Description

Summary:
The Accounting Assistant performs a variety of general accounting support tasks in the Firm's accounting department with efficiency, a great deal of accuracy and attention to detail. This position requires work at the Firm's office in downtown Santa Rosa. Essential Duties and Responsibilities include the following and must be performed with a high degree of accuracy and efficiency while ensuring compliance with the Firm's Confidentiality Policy, including safeguarding confidential and personal information of clients and employees. Other duties may be assigned. Process accounts payable, including reviewing invoices, obtaining payment approvals, entering and posting invoices in QuickBooks and the firm's practice management software, and maintaining vendor records. Communicate with vendors and suppliers regarding invoices, payment status, and account inquiries. Obtain, maintain, and organize vendor W-9 forms and assist with annual 1099 preparation and filing. Process client payments, trust deposits, and other receipts, ensuring accurate entry and reconciliation between accounting and practice management systems. Prepare trust checks and record trust-account activity in accordance with firm procedures. Perform bank account, trust account, and general ledger reconciliations. Reconcile credit card statements, employee expense reports, and reimbursement requests. Verify client and matter accounting information to ensure accurate billing and reporting. Maintain organized electronic and physical accounting records and supporting documentation. Prepare monthly accounts receivable reports, aging reports, billable hours reports, and other financial reports for attorneys and management. Respond to attorney, staff, vendor, and occasional client inquiries regarding billing, payments, and account activity. Assist with check processing, deposits, and other day-to-day accounting transactions. Support the overall operation of the accounting department and provide general administrative assistance as needed.

Qualifications:

High School degree required; Associate's or Bachelor's degree preferred 2 years of recent Accounting experience; law firm experience is a plus but not required. Proven experience with cash-basis accounting and accounting principles Strong MS Excel skills Accuracy and attention to detail; strong aptitude for numbers Competency in QuickBooks, MS Office - Word, Excel, and Outlook Mastery in ten-key calculator

This may be an excellent part-time opportunity for an experienced accounting professional who can independently manage the responsibilities of the position with a high degree of efficiency and accuracy. We are also open to candidates who are earlier in their accounting careers and may require a full-time schedule while developing proficiency in all aspects of the role.

$30.00 - $40.00 per hour
