Full Job Description Position Summary:
The Accounts Payable Specialist role will be responsible for controlling and monitoring expenses by performing the full cycle A/P process. This involves analyzing invoices to ensure expenses are coded to the correct GL, Branch/Location, and Department/Cost Center. This will also include verifying invoices against contracts when applicable and being heavily involved with Supplier business relationships. This person will make a difference by exhibiting sound knowledge of Generally Accepted Accounting Principles (GAAP) and determining the proper accounting treatment of current and future costs. In addition to exhibited accounting skill and knowledge, an outstanding Accounts Payable Specialist should have excellent communication, organizational, and analytical skills. This role will also be required to maintain a basic understanding of all aspects of the Accounting Department to provide occasional back-up when needed.
Essential Duties and Responsibilities:
Accounts Payable (60%):
  • Ensure Supplier invoices are processed and paid timely, confirming proper recording, coding, and GAAP compliance.
  • Monitor month over month expenses to ensure there are no unexpected and/or inexplicable differences.
  • Reach out to vendors for recurring or otherwise expected invoices if necessary.
  • Be hypervigilant about processing invoices that need to be posted prior to closing the period.
  • Take necessary precautions to ensure that duplicate invoices are not processed.
  • Verify invoices against contracts, when applicable, to ensure proper accounting treatment.
  • Process auto debited invoice payments through A/P software to ensure proper recording and coding.
  • Maintain thorough understanding of the products and services provided by Suppliers.
  • Maintain knowledge of Branches, Departments, Cost Centers, and Capital Expenditures to code invoices properly.
  • Suggest methods of coding invoices that will allow for more beneficial and accurate financials.
  • Maintain accuracy of Supplier records in A/P software to ensure accurate year-end tax reporting.
  • Recognize opportunities to streamline the A/P workflow and communicate with Suppliers regarding paperless options.
  • Respond to Accounts Payable inquiries timely. Recordkeeping & Reporting (25%):
  • Record accrual journal entries for invoices expected but not received, when necessary, especially recurring invoices.
  • Receive and uniformly code and label incoming invoices on a daily basis.
  • Maintain organized, standardized electronic filing of Supplier invoices, communication, and other documentation.
  • Update Capital Expenditure Tracking report as necessary.
  • Provide AP related reporting by request. Accounting Administration (15%):
  • Review daily, weekly, and monthly reconciliations of assigned general ledger and subledger accounts, ensuring GAAP and NCUA compliance.
  • Assist with audit and exam requests when necessary.
  • Participate in ongoing educational opportunities to keep current with industry trends and developments, financial legislation, and company policies and procedures.
  • Handle confidential and sensitive information appropriately.
  • Be familiar with departmental duties and responsibilities in order to provide back-up when needed.
Required Qualifications and Experience:
  • Associate's degree or relevant certification and/or experience required.
  • 3+ years of relevant accounting experience.
  • Prior work experience in a financial institution is desirable.
  • Working knowledge of industry specific laws, regulations, and principles, including GAAP and NCUA.
  • Proficient with MS Office, especially Excel.
  • Proficient with Core Software and Accounting Software.
  • Determination and ability to learn unfamiliar software.
  • Perform tasks carefully, accurately, and in accordance with specific instructions.
  • Use proper written and grammatical skills, and the meaningful application of computer technology.
  • Ability to adapt to rapidly evolving work environment.
  • Excellent communication skills, both written and verbal.
  • Strong attention to detail and data entry accuracy.
  • Excellent research, analytical, and problem-solving skills.
  • Ability to provide trustworthy information to requestors.
  • Strong ability to work well and prioritize workload to meet tight deadlines.
