We are committed to providing compassionate, high-quality patient care. We are looking for a detail-oriented and organized Financial Assistant to support our finance operations in building and maintaining strong financial processes across our clinics. Position Summary The Financial Assistant will provide hands-on support for accounting, month-end close, AP/expense processing, insurance A/R tracking, inventory, fixed assets, and financial process documentation. This role is ideal for someone who is highly organized, comfortable with Excel and accounting software, and eager to grow in a healthcare finance environment. Bilingual English/Mandarin is strongly preferred due to coordination with headquarters. Position Summary The Financial Assistant will provide hands-on support for accounting, month-end close, AP/expense processing, insurance A/R tracking, inventory, fixed assets, and financial process documentation. This role requires professional fluency in Mandarin Chinese to coordinate with headquarters and Chinese-speaking team members. The ideal candidate is highly organized, comfortable with Excel and accounting software, and eager to grow in a healthcare finance environment. Key Responsibilities The Financial Assistant will support finance function in the following areas:
Process & Policy Support:
Help review, document, and implement expense reimbursement, payment, and procurement workflows. Assist in organizing implementation across California clinics and following up to support compliance.
Accounting & GAAP Support:
Assist in gathering information and organizing records related to revenue recognition, cost/expense accruals, bad debt reserve, and asset depreciation. Coordinate with HQ and external accountants as needed.
Month-End Close:
Collect monthly data from clinic accounting/cashier teams; help review revenue, costs, and expenses; communicate with the external accounting firm to ensure accurate and timely close.
Financial Reporting:
Help prepare and submit required data to the external accounting firm by the 10th of each month; support follow-up so final financial reports are ready around the 15th.
Insurance A/R Support:
Track insurance billing and collections, including Kaiser/other payers. Help maintain monthly A/R balances, identify new A/R and cash receipts, prepare A/R aging reports, and support communication with insurance companies to speed up collections and reduce write-offs.
Inventory Management:
Help maintain inventory records for inbound purchases, usage, and ending balances. Support monthly inventory counts and records so medication and medical supply costs are recognized accurately.
Fixed Asset Management:
Maintain fixed asset ledgers, support physical counts, track depreciation, and help ensure fixed asset policies are followed.
AP & Expense Support:
Review invoices and expense reports for coding, approvals, and supporting documents. Prepare payment batches, communicate with vendors, and maintain organized records.
General Finance Administrative Support:
Filing, data entry, report preparation, spreadsheet maintenance, and other tasks assigned by the finance lead or management. Qualifications Associate or Bachelor's degree in Accounting, Finance, Business, or a related field; or equivalent work experience. 1-3 years of accounting, finance, AP/AR, or administrative experience.
Language Requirement:
Professional fluency in Mandarin Chinese is required. Must be able to communicate clearly in Mandarin with headquarters and Chinese-speaking team members. English proficiency required for speaking, reading, and writing. Healthcare, medical billing, fertility clinic, or insurance A/R experience is a plus. Basic understanding of GAAP, month-end close, AP/AR, and account reconciliation. Intermediate Excel skills required . Experience with QuickBooks Online, or similar accounting software preferred. Experience with EMR/billing systems is a plus. Strong attention to detail, confidentiality, and ability to work with sensitive financial and patient information. Comfortable communicating with clinics, vendors, external accountants, and insurance payers. Must be authorized to work in the United States.
